Connecting Your Calendly Account

Find out how to integrate your Calendly account to Apploi

Looking for an easier way to schedule interviews with applicants? If you have a Professional Calendly account, you are able to integrate your calendar to Apploi so that applicants can schedule interviews directly on your calendar.

Each Apploi user will have to complete the steps below to integrate their Calendly accounts:

  1. Within Apploi, navigate to any candidates profile and click on the "Interview" tab

2. Click on the "Calendly" tab and select "Connect to Calendly"

3. This will bring you to Calendly and allow you to login and connect your account

**Please note that you will need to set up Event Types in Calendly to allow candidates to schedule time on your calendar**

Once the integration has been set up, you can easily schedule interviews via email and text message in Apploi.

When creating a template under the Email and Text Templates section of Apploi, be sure to select "URL - Calendly" merge field to allow the Calendly link to paste to the message:

Below is an example of a template that can be used:

Hi *|FIRST_NAME|*,

Thank you for submitting an application to the *|JOB|* position with *|COMPANY_NAME|*. We have carefully reviewed your application and would love to schedule an interview.

In order to get scheduled, please select one of the available timeslots:

*|CALENDAR_URL|*

After the applicant clicks the link in your message, they will be prompted to select a timeslot from the Calendly account:

Once the timeslot is selected, the recruiter will be notified via email with the interview scheduling confirmation:

On the applicant profile in Apploi, their status will automatically be updated to Interview Scheduled and the details for the interview can be found under the Interview(s) section:

Calendly now supports a Round Robin Scheduling feature:

What is Round Robin?

  • Round Robin is a scheduling method where incoming interview requests are automatically and evenly distributed among available team members (like recruiters or interviewers).

  • This helps make sure that no one person gets overloaded with interviews, and all team members get a fair share.

How does Round Robin work in Calendly integration?

  • Round Robin links will be available as merge fields alongside the regular Calendly Link.

  • These Round Robin links can be embedded in emails to applicants.

  • Round Robin links will only be available as merge fields.
