Composing an Email

Use Compose to send an email to applicants, reviewers, donors or any other users in your site. Emails you send here are recorded on each recipient's Activity tab, so the message becomes part of their history.

To get started, click on the 'Emails' tab in the main navigation menu, then the 'Quick Compose'.

The Compose screen has two halves. Recipients and Sending on the left decide who gets the email and when. Email content on the right is the message itself.


Recipients

Choose a distribution list from the dropdown to email an established group, or search under Enter Recipient Name or Email to add people individually. Start typing a name or email address and select from the matches.

You can also paste a list of email addresses, for example from a report.

Note: each recipient receives their own individual email. Nobody sees who else was included, in the same way as a BCC.


Sending

From sets the reply address the recipient sees. Leave it blank to use your site's default.

Emails are sent from AwardSpring's mail servers whichever option you choose. The From setting controls what the recipient sees as the sender, not where the message physically originates.

When to send is required, and you have two choices:

  • Send now sends the email as soon as you send it.

  • Schedule holds the email and sends it automatically at a date and time you set.

Scheduled emails appear under the Sent & scheduled tab, and on the recipient's Activity tab marked as Scheduled until they go out.


Email content

Starting from a template

Click Use a template at the top right to load one of your saved templates into the subject and message. You can edit it afterwards, and editing here does not change the saved template.

Templates are managed under the Templates tab.



Subject

Required. Write the line you want recipients to see in their inbox.

Message

Required. Write your message in the editor, which supports bold, italic and underline, alignment, bulleted and numbered lists, links and images.

Personalizing the message. Use the merge field control in the toolbar to insert fields that fill in per recipient, for example the recipient's first name. Each recipient receives the message with their own details filled in, so one email can still read as though it were written to them individually.

The word count appears at the bottom right of the editor.


Attachments

Attach up to 10 files, 10 MB total, using Add a file below the editor. The counter next to the Attachments heading shows how many you have added.

After you send

Sent and scheduled emails are listed under the Sent & scheduled tab.


To see what a particular person has received, open their donor record and go to the Activity tab, where every email sent through AwardSpring appears in their history.
