Creating a Department

To create a Department, navigate Settings → Scholarships → Department and click on 'Create Department'.



Enter the Department name and click 'Save Changes'

There are 6 areas that can be administered at the Department level:

  • General Application - Granting department admins access to the general application allows them full access to view, update, re-order, add and delete questions from the application.

  • Follow-Ups for their Department (default access) – Department admins will be able to access the Follow-Ups tab in the left hand menu. This will allow them to view and control the follow-up items (i.e. post-award, renewable) for the for recipients of scholarships assigned to their department.

  • Emails (sending only) – This option allows department admins to compose and send emails from the AwardSpring site (via Settings > Compose). Department admins will not be able to access and edit the Award and Deny letter templates.

  • View and manage all student users – Allows department admins to view a list of all student users in your AwardSpring site. Allows department admins to see the student's Profile, User Activity, Scholarships, and application tabs and all included functionality (with the exception of manual apply).

  • Reports – Grants department admins access to all report functionality (i.e. stock reports, custom reports and Smart Reports). NOTE: This may allow department admins access to information they are otherwise restricted to since reports are not limited by department.

  • Help Center (default access) – Allows department admins to access and view Help Center articles. NOTE: Department admins may not have access to all features they read about in the Help Center.

There are 3 features that can be limited at the Department level:

Can manually apply students to scholarships – Allows department admins with access to the student user listing to manually apply applicants to scholarships, thereby overriding qualifications, application dates and all requirements of that scholarship. NOTE: Manually applying students cannot be un-done.

Allowed to edit scholarship qualifications – Allows department admins to control the qualifications for scholarships assigned to their departments (know that this may cause additional questions to be added to the general application).

Allowed to edit scholarship additional requirements – Allows department admins to control the Before Applying, After Awarding, and Renewable Additional Requirements on scholarships assigned to their department.

Select which navigation and feature access the department should have access to and click "Save Changes" once you have entered a name and selected the desired settings. You can change settings at any time.
