Managing External Requests

This article covers how external requests appear to students, request recipients, reviewers, and administrators. For instructions on setting up external requests, see External Requests: A Detailed Guide.

Viewing and Tracking External Request Responses

To track the status of external requests, you can run the External Request Status static report from the Reports tab. Below, you'll learn what each user type sees.

Student view

Impersonate the student and click Application, then navigate to the section that contains the recommendation request. The student chooses to request the letter from a recommender, enters the recipient's name and email, and clicks Send Request. The recipient then gets an email from AwardSpring with a link to the request form.

Request recipient view

The recipient, such as a recommender, opens the link in the email and fills out the external request form. They do not need an AwardSpring account. Administrators can open this same form from a request on a student's application by clicking View External Request Form (see the Administrator view below).

The blank external request form a recommender fills out, with reference name, role, relationship and rating questions for the applicant.

Reviewer view

Reviewers see external requests inline with other student answers, exactly where you have placed them in the application. A completed request shows the recipient's name and email, the dates it was requested and submitted, and all of their responses. A request appears only if its question is ticked on the review group's Question Visibility tab (under Review, open the review group).

From the Users tab

Under People, open Users, then select or search for an applicant, select their Application tab, and locate the request on it:

  • Pending Requests—details of the request state when the request was sent, to whom, and resend the request to the same person with Resend External Request Form if necessary. Additionally, you can complete the external request on behalf of the student or recipient by clicking the View External Request Form link.

  • Completed Requests—details of the request state when the request was completed, all of the third party's responses, and move it back to a pending state with Move to Pending, if need be, so that the third party can make changes.

From the Award & Deny screen

Head to Scholarships and select a scholarship. Then head to its Award & Deny tab and select an applicant. The applicant's panel shows each request in the application:

  • Pending Requests—the recipient's name and email, when the request was sent, and its Pending status.

  • Completed Requests—the recipient's name and email, the dates it was requested and submitted, and all of the third party's responses.
