Once the follow-up questions have been completed by the student, the follow-up item’s status will change to Take Action. Sort your follow-ups by Status or Type to move actionable items to the top of your task list. Expand a follow-up and see its details by clicking on the row you'd like to review.
After reviewing the student’s information, you’ll need to decide what to do with the follow-up item from the following options:
1. Close the follow up by clicking 'Disburse' & save- this means you’re satisfied with the submitted work and no further action is needed. The follow-up’s status will change to Closed.
2. Close the follow-up by clicking ‘Cancel’ & save- this means you’ve decided to deny the applicant’s next payment. In this case, you will be asked what you’d like to do with the funds.
Award another student allows you to search for another student to roll the funds to. Once you select the student’s name, click 'Update'. The award funds for that student will be shown in the Distribution tab of the scholarship in the current award cycle.
Choose to do nothing - the student’s status on the scholarship’s Award & Deny tab will be updated to ‘Deny’.
3. 'Request Revision' & save - if you need the recipient to re-submit their follow up work for some reason (wrong file uploaded, poor grammar, etc), type a message to them in the feedback for resubmission box and click ‘Save’. This will move the task into a 'Pending' status and send an email to the applicant informing them that they need to re-submit their work. They’ll be able to do so when they log back into AwardSpring. When their work is re-submitted, the follow-up item’s status will change back to the ‘Take Action’ state.
Tracking Renewable Follow-Ups
Thirty days prior to the renewal payment date, renewable follow-ups will appear in your task board.
Renewable follow-ups are distinguished from post-award follow-ups by their ‘Type’: You can click on 'Manage Filters" to filter by that specific type.
Expand a follow-up to view the details of the renewable payment. Pending status indicates that the student has not yet answered the follow-up questions, which are shown in the 'Responses' section.
Note: that you can also change the payment amount here.
Notifying Applicants about Renewable Follow-Ups
Once the follow-ups have been generated, you should let the students with open renewals know that they need to log into AwardSpring and complete the follow-ups in order to maintain their award. To notify them using AwardSpring, check off the applicants you'd like to email and a bulk action dropdown menu will appear at the top where you can choose 'Send Email' to email all the students you've selected.
Select 'Send Email' and then click Confirm.
