How to Notify Applicants with Incomplete Applications?

To encourage students with incomplete applications to come back and apply for scholarships you can send them a friendly reminder email.

You can achieve this in one of two ways:

Option 1: Using the distribution list email tool.

Navigate to the Emails tab, then select the Compose subtab. In the Recipients menu select the Distribution List menu and pick your current (active) cycle.

The Compose Email screen with the Distribution List dropdown open, showing the built-in Students With Incomplete Applications segment.

You'll notice that a tag will populate in the field below. You won't see the list of applicant emails, instead they are grouped under one tag.

After that, compose your friendly “come back and complete your application” reminder email like you would in any other email program and click Send when you’re ready.

Option 2: By downloading and filtering a report.

Navigate to the Reports tab, then select Smart Reports. Under Build Report, select Static Reports as the report type, choose Student Answers from the Select a report dropdown, then click Next.

The Smart Reports Build Report screen with Static Reports selected as the report type and Student Answers chosen from the predefined report list.

Once the report has finished generating, go to the History tab and find it under Past Downloads Library. When its status reads Complete, click the download icon to save the CSV file. You will be using this report to identify the students and their email addresses.

Open the file, then locate and click into the General Application Submitted column header field.

The downloaded Student Answers CSV opened in Excel, with the General Application Submitted column boxed.

Click the Sort & Filter button in the Editor section and select Filter.

Excel's Sort & Filter button and Filter menu option, used to enable column filtering on the downloaded report.

The filter (down arrow) button will now be present for the General Application Submitted column. Click this filter button and uncheck the Yes checkbox (to filter out those students who have completed and submitted their application), leaving only the No checkbox selected.

Select and copy all email addresses from the Email [Profile] column (these are the email addresses of the students with incomplete applications).

Go back into your AwardSpring site, click the Emails tab, then select the Compose subtab. Paste the email addresses in the Recipients field. To learn how to further customize your email before sending it out click here.
