Donor Profile: Right Panel Overview

The following key donor details are always visible on the right side of the profile.

  • Research Notes

  • Associated Scholarships

  • Funds

  • Data Enrichment

  • External ID


Research Notes

Research Notes is a free text field for whatever your team needs to record about a donor that doesn't belong in a structured field: background from a prospect research session, context from a conversation, or a reminder about how to approach someone.

Notes are visible to staff only. Donors never see them, including on their donor portal.

Because this is one shared field rather than a per person notepad, treat it as a team record. It's worth agreeing on a light convention, for example adding a date and initials to each entry, so colleagues can tell who wrote what and when.


Associated Scholarships

Associated Scholarships lists the scholarships connected to this donor. When there are none, the card tells you so.

To connect one, click Add scholarship.

This is useful when a donor's support is tied to a specific award rather than a fund, or when you want the donor record to show which scholarships their giving makes possible.


Funds

The Funds card shows the funds this donor gives to. Each row lists:

  • The fund name

  • How many gifts the donor has made to it

  • The date of their last gift to it

  • The total they have given to it

So a row reading "2 gifts, last gift Mar 20, 2026, $581" means this donor has given twice to that fund, most recently in March 2026, for $581 in total.

To connect this donor to another fund, click Add fund.

This card is a quick way to answer two common questions: which of our funds does this donor care about, and when did they last give to each.


Data Enrichment

Data Enrichment fills in details about a donor from outside sources, so your team spends less time researching basics by hand.

Click Generate to run enrichment for this donor. Enrichment runs automatically each quarter or you can generate it yourself as a one-off.

Click View sources to see where each enriched detail came from.

External ID

The External ID field records this donor's identifier.


Quick actions on the donor profile

The buttons in the top right of the donor profile header give you the actions you'll reach for most often without leaving the record. They're icon only, so hover over one to see what it does.

  • Log Task records a to do for this donor and puts it on the owner's task list

  • Log Meeting records a meeting or interaction on the donor's activity history

  • Generate Enrichment runs data enrichment for this donor, the same as the Generate button on the Data Enrichment card


More actions

Click the three dots for the additional actions.


Impersonate

Opens AwardSpring as this donor sees it. Use it to check what a donor is looking at when they contact you with a question, or to confirm their portal shows what you expect before you point them to it.

Reset Password

Sends this donor a password reset email.

This is available for individual donors who have an active email address on their record. If a donor has no email address, there is nowhere to send the reset, so add an email to their Contact card first.

Mark as deceased

Flags the donor record as deceased. Use this rather than deleting the record, so the donor's giving history stays intact for your reporting and stewardship records while the account stops being treated as an active relationship.

Delete User

Deleting a donor removes everything associated with the record, including their giving history, activity history, and documents. This cannot be undone.

Deleting is appropriate for a record created in error, such as a test account or a genuine duplicate with no history worth keeping. It is rarely the right answer for a real donor with giving history, because that history is what your fund reporting and reconciliation rely on.
