What is Multi-day/Termly Event and How to Use It (trials and drop-ins)

What Is a Term Event and How to Use It

Term events (also called Multi-day / Termly sessions) are recurring sessions that run over a fixed period of time. They are ideal for courses, term-based programmes, or multi-week workshops where customers book for a full term rather than individual sessions.

Step 1: Create a Termly Multi-day Listing

When creating a new listing, you’ll first see the “How would you like to start?” screen.

You have two options:

Option 1: Start from Scratch

If you select Start from Scratch, you’ll need to:

  1. Click Add New Listing

  2. Choose Termly / Multi-day as your listing type

Then fill in the usual details, such as:

  • Event name

  • Description

  • Image

  • And any other relevant information

Once you’ve completed this step, you’ll be taken to the Basic Details page of your new event, where you can continue setting up availability, tickets, and other settings.

Option 2: Use a Preset (e.g. Diploma Course)

You can also select a preset such as Diploma Course (Termly).

This will automatically apply recommended settings for a term-based course, which you can fully edit afterwards. It’s a quicker way to set up a structured, term-style programme.

Step 2: Configure Basic Details & Display Settings

Fill in the Basic Details tab as normal.

Then head to Display Settings.

Display when there are no future dates

If enabled, your listing will remain visible even when there are no upcoming sessions available.

This is useful if you’d like customers to still view the event and potentially join a waiting list.

Display when sold out

When this is turned on, your listing will stay visible even when all sessions are fully booked.

This allows customers to see the event and join the waiting list instead of the listing disappearing.

Hide available spots count

If enabled, customers will not see the exact number of remaining spots.

Instead of showing precise availability (e.g. “3 spots left”), it will display a more general indicator.

Blocking Strategy

This setting controls how bookings affect availability.

Once these options are set, click Save changes.

Step 3: Add Tickets

Next, go to the Tickets tab and click Add New Ticket.

A Choose Ticket Type window will appear.

You’ll see pre-made ticket options that you can select and edit to suit your needs, or you can choose to create a ticket from scratch for full control over the setup.

if you select create from scratch add:

  • Ticket name

  • Description

  • Ticket type

  • Price

Ticket charge types explained:

  • Flat
    One fixed price, regardless of people or sessions.

  • Flat per person
    A fixed price per person, regardless of the number of sessions.

  • Per person
    Charges per person, regardless of sessions.

  • Per person & per session
    Charges per person × number of sessions (ideal for pro term-based pricing).

You can also:

  • Limit ticket visibility (e.g. only visible X days before the term starts)

  • Apply the ticket to all future dates

Step 4: Create a Term & Add Availability

Go to the Availability tab and click Add term.

  1. Enter a Term name (e.g. Spring Term).

  2. You’ll be taken to the Upcoming Sessions section.

Add sessions manually

Useful if you already have a term and want to add one or two extra sessions.

Bulk generation (recommended for new terms)

This allows you to create sessions in bulk by:

  • Selecting start and end dates

  • Choosing days of the week

  • Setting session start and end times

  • Selecting a location

  • Setting maximum attendees per session

  • Assigning ticket availability

  • Assigning tutors

Once ready, click Generate sessions, then Create term.

Step 5: Manage Your Term Sessions

After creating the term, you’ll be taken to the Upcoming Sessions page where:

  • All sessions for the term are listed

  • Each session can be edited individually

  • Additional sessions can be added manually

Step 6: Term Settings (Optional)

On the same page, click Settings to access additional options:

Availability:

This term is early access

When enabled, the term is only visible via an early access link.

Trial bookings

Allow customers to book trial sessions across the term.This also enables trial tickets at the course level.

Drop-in bookings

Allow customers to book individual sessions instead of the full term.This also enables drop-in tickets at the course level.

How to Set Up Pro-Rata Pricing

Pro-rata means that once your term has started, customers can join and pay only for the remaining sessions in the term.

After you’ve set up your term:

  1. Click edit term

  2. And click on 'Settings'


  3. Toggle Pro-rata Pricing ON and click 'Save Settings'


  4. Go to the Tickets section and make sure:

    • Your ticket type is set to Per person & per session

    • Your Price per session is entered correctly

    For example, if the full 10-session term costs £100, then the price per session should be £10.

    The system will automatically calculate the total by charging:

    Per person × number of remaining sessions

    So if someone joins with 5 sessions left, they’ll be charged 5 × £10.

In the same term settings page you also have the option to allow drop-in and trial tickets. These two ticket types are similar, but there are some key differences.

With trial tickets, you can:

  • Limit how many times the same customer can book

  • Choose which sessions they can attend (all future sessions, the next session only, the next two sessions, or the next three sessions)

With drop-in tickets, customers can book any available individual session within the term.
