In this guide we will discuss how sharing data through your digital vault works in practice.
The purpose of your digital vault is to facilitate the transfer of digital assets after death.
To this end, by default, nothing you upload into your vault will be shared before your passing is verified - however, there are exceptions which we will cover.
Who receives what?
Note: By default, everything in your vault will be passed on to your digital executors after death.
Your Executors are the people that are part of your executor group. They can be found on the People tab of the vault.
For more information on adding your digital executors, please read: Where Do I Start
After adding executors to your vault, you will see their names under the 'Legacy' column of all of the items they will receive.
However, if you have no executors in your vault yet, your items will show up as 'Unassigned'.
Assigning Data to People
As previously mentioned, if you add executors to your vault, they will be the default recipients of everything.
However, if you wish, you can also choose to assign specific items to specific individuals.
To do this, create an item and then on the second stage 'Assign To', select the people you wish to receive it.
Alternatively, if you've uploaded a file, you can click the file and then select 'Edit' & 'Assign to'
When you do this, it will overwrite the default inheritance by your executors unless you also select them here.
When you add someone as an Executor, or you choose to share data with them, there is a checkbox to notify this person of the existence of the vault and purpose:
This does not share your data with them today. It merely notifies them that the vault exists, and how to create an account to receive data after your passing.
Sharing Data
So far, everything we've discussed has been about the transfer of data after death. However, there are some situations where data can be shared today.
Sharing Data Today
Sometimes you might want to share a file of piece of information with someone today.
In these circumstances, you can click the 'Share Now' button.
When you click on the 'Share Now' button, it will release this information today to the people it is assigned to.
Sharing Data with Your Advisor
Sometimes when using your vault, you may wish to share a file or folder with your advisor.
Depending on how your vault is set up, this can be done in a few ways.
If your provider has already created a shared folder
Often times, your advisor may have already created a folder that is shared with them.
As seen in the above image, there is already a folder called 'Shared with Amazing Law'.
This is a special folder that has been set up that your advisor has access to.
If this folder exists, you can simply click on it (to open the folder).
Once inside, any files or data added will be visible to your advisor.
Create your own folder to share with an advisor
If you advisor has not created a folder like this for you, you can do so yourself.
Go to the 'Add New' button (1.) and click folder (2).
Give your folder a name that is easily recognisable, so you know anything added to this folder will be shared.
Click on 'Create Folder'.
Once your folder has been created, click on it as shown (1.)
and then click on 'Access and Legacy Details' (2).
Find your advisor's name, and then click the toggle for 'Access Now'.
This will provide access to the folder and it's contents to your advisor going forward.
You can now add files and data to be shared securely with your advisor.
There are two options here - you can also choose the 'Access After Death' option which will only share data to your advisor after death.
Sharing Data with Your Spouse
In some situations, a partner may wish to maintain a joint folder with their spouse. To do so, simply click 'Access Now' on the folder (only works for folders) you have shared with your spouse. This will allow your spouse to upload data into this folder too.
