Create Your First Invoice

Invoices are how you bill customers. BillPine makes it simple and handles taxes automatically.

What You'll Learn

Step-by-Step: Create an Invoice

  1. Go to Invoices in the sidebar

  2. Click + New Invoice

  3. Select:

    • Customer — Who you're billing

    • Invoice Date — Today's date

    • Due Date — When payment is due

  4. Add line items:

    • Click + Add Item

    • Select or create a product/service

    • Set quantity and price

    • Add multiple items as needed

  5. Review:

    • Subtotal (before tax)

    • Tax (VAT) — Calculated automatically

    • Total due

  6. Click Save & Send to send to customer

Invoice Statuses

  • Draft — Not sent yet, you can edit

  • Sent — Sent to customer, awaiting payment

  • Overdue — Past due date, no payment received

  • Paid — Payment received

  • Void — Cancelled (for corrections)

Recurring Invoices (Auto-Billing)

For subscription plans, BillPine creates invoices automatically. You can also set up recurring invoices for contracts:

  1. Create an invoice as normal

  2. At the bottom, enable Recurring

  3. Set Frequency (Monthly, Quarterly, Annual)

  4. BillPine will auto-create and send each invoice

Tax & ZATCA Compliance

VAT Calculation: BillPine automatically applies VAT based on:

  • Your company location

  • Customer location

  • Product type

ZATCA (Saudi Arabia): If you're in Saudi Arabia, ZATCA compliance is automatic:

  • QR codes on invoices

  • E-invoicing transmission to ZATCA

  • Compliance validation

Tips

  • Use clear, descriptive line items

  • Set realistic due dates (30 days is common)

  • Add payment instructions so customers know how to pay

  • Send invoices immediately — reduces payment time
