Step-by-Step: Create an Invoice
Go to Invoices in the sidebar
Click + New Invoice
Select:
Customer — Who you're billing
Invoice Date — Today's date
Due Date — When payment is due
Add line items:
Click + Add Item
Select or create a product/service
Set quantity and price
Add multiple items as needed
Review:
Subtotal (before tax)
Tax (VAT) — Calculated automatically
Total due
Click Save & Send to send to customer
Invoice Statuses
Draft — Not sent yet, you can edit
Sent — Sent to customer, awaiting payment
Overdue — Past due date, no payment received
Paid — Payment received
Void — Cancelled (for corrections)
Recurring Invoices (Auto-Billing)
For subscription plans, BillPine creates invoices automatically. You can also set up recurring invoices for contracts:
Create an invoice as normal
At the bottom, enable Recurring
Set Frequency (Monthly, Quarterly, Annual)
BillPine will auto-create and send each invoice
Tax & ZATCA Compliance
VAT Calculation: BillPine automatically applies VAT based on:

Use clear, descriptive line items
Set realistic due dates (30 days is common)
Add payment instructions so customers know how to pay
