How a Vendor Can Upload Certificates of Insurance to Billy

You will receive an email from Billy asking you to upload documents. Click the blue Upload Documents button.

You can always forward this email with the upload link to your insurance broker.

Note: if the blue Upload Documents button does not work, click the URL link at the bottom of the email to be redirected.

When you click the blue Upload Documents button, if you are on multiple projects, you will arrive on a page that shows you these project. Click the project name to navigate to the project's requirements page where you can upload your documents. Review the requirements on the left, including rejection notes that tell you what revisions are required.

Click the blue Choose a File button to upload a document. Navigate to your document file on your computer and choose the Open button to attach.

After you upload documents, Billy is automatically alerts the requesting company for certificate review.

Insurance Requirements

Please review all requirements before submitting documents. Documents might need to include required endorsements. If you don't submit all documentation at once this will delay processing.

If you have specific questions regarding the requesting company's requirements please use the blue chat at the bottom of the page (a real person will answer!) or email support@billyforinsurance.com.

Insurance Policy Rejections

Once you have uploaded your documents, the requesting company will review and either approve or reject your submitted policies.

If one or more of your policies are rejected, you will receive an email from Billy asking for more compliance documents. Click the Upload Documents button to see the rejection notes that will tell you exactly what is needed.

Billy Email Notifications

You will receive automatic email notifications from Billy. These include:

  • Document Request Notification - you will receive this request the day that the requesting company initially requests your Certificate of Insurance.
    Subject: [Requesting Company Name] has requested documents.

  • Document Request Notification Reminder - you will receive this request every 7 days after the requesting company requests your documents. These reminder emails will stop once you upload your documents.
    Subject: REMINDER - [Requesting Company Name] has requested documents

  • Document Expiration Reminders - you will receive these requests when your documents due to expire in 30 days, 15 days, day of expiration, and every 7 days after expiration until new documents are uploaded.
    Subject: One or more of your documents have expired for [Requesting Company Name]

The above emails are on a per-project basis, if applicable. If you are on multiple projects with the requesting company, you will receive these emails accordingly.

If you continue to receive automated reminder emails after your work is complete with the requesting company, please contact the requesting company directly so they can mark you inactive in Billy. The Billy team requires approval from the requesting company to do so.

Updating Contact Information

You can update your contact information when documents are requested from Billy. Click the Update Contact hyperlink to add your contact information then click the blue Submit Request button.
