How to use the Notes report on Birdie Analytics

Learn how to audit the notes created on the Agency hub

The Notes report will give you an overview of all the notes created across the Client/Carer feeds and can be used for PIRs and CQC or Care Inspectorate Inspections. This is useful to see how many notes are being created, who is creating them and includes the ability to see a breakdown by note type and filter by specific time periods or client groups.

Notes on the Agency hub

This report is linked to the Notes section on the Client/Carer feed. Start by going to the Client or Team tab on your Agency hub and select the person whose notes you would like to view. Click on their Client/ Carer feed on the left-hand side and click Notes to view their notes.

Notes allow you to record non-visit information such as compliments, complaints, and general interactions. There are 7 types of notes you can create such as a complaint, compliment, general notes, introduction, check-in call, audit, and referral.

To run a report on Notes, log into your Looker account, go to the Monitoring & Auditing board and click on the Notes report.


Filtering the report

To get the most relevant information, you can filter by:

  • Branch

  • Client/ Care Group

  • Client name

  • Note type (audit note, complaint, compliment, etc)

  • Date created

Once you have selected the relevant filters to you, click the Update button in the right-hand corner. The graph below will then reflect the changes you have made and will display the last six months.

To further drill down into the information, you can click the coloured icons at the bottom of the graph. You can toggle these on and off. For example, if you only want to look at the complaints over the past few months, you can unclick the other icons. To include them in the report again, click them again.

If you have an upcoming CQC inspection you may want to highlight all the compliments your agency has received from clients and family members. You can do this by filtering the Note Type to 'Compliment' and download the report to share with the inspector.

If a local authority has requested complaints information for a selection of clients, you can filter by the Tagged Client Name and the Note Type to find this information and easily download it for the council to review


Downloading the report

In this example, I have selected to view only general notes you can click into it the bar chart and select to show all or a certain date.

From here, a pop-up box will appear where you can see when the note was created, the care recipient/ care professional who it is about, the type of note as well as the description of the note.

You can download the information for this specific report if you would like to see only the general notes.

if you would like to see all the notes raised in your agency, you can return to the graph and select all of the colour icons, when you scroll down to the All notes section, you will be able to see all the notes raised.

The below table shows all notes in an agency from year to date.

To download the entire table, click on the three little dots on the side of the report and click Download data. You will now have the option to download it as a CSV file which can be uploaded to your spreadsheet software of choice. This report will also be downloaded to your computer which you can use as part of your auditing process.
