Please note: The following feature is available as part of Birdie’s Starter, Core, Advanced, Plus and Care Management packages (Also known as Care Management & Rostering, Care Management, Rostering & Finance, Premium, Entry and Essentials) Please get in touch if interested in more information on this feature!

There may be a situation where you need to quickly assign a Care Professional to a visit that is unallocated or reassign a visit that is already allocated to someone else. With the Find alternative carer modal (FAM) you can do this without leaving the page you are on and disrupting the flow of your work.

This is also a good tool to use to assign single visits that are still unallocated after you have applied your weekly template, for more information on applying a weekly template, read this article - How to apply a template to plan a weekly rota

Where can I use this feature?

There are three places you can use this feature:

  • Via the Visit planning page of a Care Recipient

  • Via the Roster page

  • Via the Care Recipients Scheduling calendar (This will only appear for those enrolled on this feature)

How to use the Find alternative carer feature via the Roster tab

Start by going to the Roster tab, from here select a visit you would like to quickly allocate from the unallocated section.

Click on the visit, a drop-down menu will appear. Here you can select Find alternative carer

You will now see a pop-up appear showing you a list of Care Professionals who are available for the visit.

You can use the arrow toggles to quickly filter through:

  • Name

  • Availability Status

  • Continuity

  • Travel time

  • Skills (This will only appear for those leveraging the Skills Matching functionality)

You can also search for a Care Professional by using the search bar function or by further filtering by Group.

Once you have found the Care Professional you would like to complete the visit, click their name, you will now see that they have a green arrow next to their name. Once you are done click Allocate carer at the bottom of the pop-up.

This visit will now be removed from the unallocated section and will be assigned to the care Professional.

How to use the Find alternative carer feature via the Visit planning tab

You can also use the FAM via the Visit planning tab. To do this, click on the care recipient you would like to assign a visit for and select a visit.

From here, the right-hand sidebar will appear, click the Care team tab and then the Find alternative button to select a Care Professional.

The below pop-up window will appear where you can see which Care Professional is best suited for a visit and assign them.

You can also use the FAM for a visit that is already allocated to another Care Professional, all you have to do is click on the visit card and press the Find alternative button again to find a new Care Professional.
