Technician Productivity Reports

Understand and run the Payroll Hours, Technician Hours, and Technician Performance reports to monitor technician productivity in Blackpurl.

Blackpurl's Technician Productivity Reports use Job Clocking and Payroll Clocking data to help you monitor how your technicians spend their time. This article covers the three reports in this group: Payroll Hours, Technician Hours, and Technician Performance.

Before You Start

For Blackpurl to have the data needed to generate these reports, Job Clocking and Payroll Clocking must be configured and actively used by your dealership.

How to Run Technician Productivity Reports

Navigate to the reports from the Blackpurl header by clicking Reporting, then selecting Reports.

From the Reporting page, locate the following reports by category:

  • Service > Technician Performance

  • Service > Technician Hours

  • Admin & Others > Payroll Hours

Each report defaults to preset parameters — typically Last 7 Days for all technicians. To learn how to export, print, change columns, or adjust parameters, see Reporting Tips and Tricks.

Payroll Hours Report

The Payroll Hours report covers Payroll Clocking hours. It defaults to showing all payroll clocking staff for the last 7 days.

Review this report regularly to catch Payroll Clocking errors — for example, staff not clocking in or out at the correct times. If you find errors that need to be corrected, see Manage Payroll Clocking.

Technician Hours Report

The Technician Hours report covers Job Clocking hours by technician, filtered by date range, specific technician, or other parameters. It defaults to all technicians for the last 7 days.

Review this report regularly to catch Job Clocking errors — for example, a technician who forgot to clock off a job or did not clock out correctly. If you find errors that need to be corrected, see Manage Job Clocking on a Service Job.

Technician Performance Report

The Technician Performance report measures the productivity, proficiency, and efficiency of your technicians using data collected from Job Clocking, Payroll Clocking, and hours invoiced. Results depend on the filters applied and on how accurately your staff clock in and out.

The report includes the following columns:

A. Technician

List of technicians that meet the report filters.

B. Hours Worked

Sourced from Payroll Clocking. Shows how long each technician was Payroll Clocked on and available for work.

C. Hours Clocked On

Sourced from Job Clocking. The total hours each technician was Job Clocked onto service jobs.

D. Productivity

Calculated as (Hours Clocked On ÷ Hours Worked) × 100%. For example, a technician who was Payroll Clocked in for 7.59 hours but Job Clocked onto service jobs for only 5.36 hours has a productivity rating of 70.62% (5.36 ÷ 7.59 × 100%). This raises questions such as: what was the technician doing for the remaining 2.23 hours? Was Job Clocking or Payroll Clocking recorded incorrectly?

E. Clocked Hours Invoiced

The hours on customer orders that have been billed or invoiced.

F. Clocked Hours WIP

Work In Process (WIP) hours that could still be invoiced. For example, a technician who Job Clocked 5.36 hours total, of which 1.32 hours were invoiced, has 4.04 hours of WIP remaining (5.36 − 1.32 = 4.04 hours).

G. Invoice Hrs

The hours actually billed on customer orders. This may differ from Clocked Hours Invoiced — for example, a technician may have clocked 1.32 hours on a job but the dealership invoiced 2.30 hours.

H. Invoice Hrs WIP

Additional WIP hours billed to customers within the date range.

I. Efficiency

Calculated as (Invoice Hrs + Invoice Hrs WIP) ÷ Hours Clocked On × 100%. For example: (2.30 + 13.66) ÷ 5.36 × 100% = 295.90% efficiency.

J. Proficiency

Calculated as (Invoice Hrs + Invoice Hrs WIP) ÷ Hours Worked × 100%. For example: (2.30 + 13.66) ÷ 7.59 × 100% = 208.95% proficiency.

K. Paused Hours

The number of hours the technician recorded as paused.

L. Other Tasks

Hours spent on other tasks such as cleaning or customer conversations — unbillable hours.

M. Invoiced Cost

If your dealership uses an individual labour cost rate, this column shows how much labour cost was invoiced.

N. Uninvoiced Cost

If your dealership uses an individual labour cost rate, this column shows how much labour cost was uninvoiced.

Important: What the Technician Performance Report Does Not Show

The Technician Performance report does not show the hours invoiced on a specific day or date range. On any given day, a dealership is likely invoicing jobs where the technician logged time on a previous day or period.

The Technician Performance report is strictly about how the hours a technician clocked onto jobs were distributed — to determine productivity, efficiency, and proficiency. If you need to know the total hours invoiced to customers within a specific date range, use the Open Service Jobs report instead. Run it with Status set to Invoiced and the same date range you used for the Technician Performance report. See Open Service Jobs Report.
