How to Set Up Your QuickBooks Online Integration
This video will show you how to easily connect your QuickBooks Online account and import your customers. The video also demonstrates how the invoices look once they have been sent to QuickBooks.
Note: Canadian service providers will also need to set up their sales tax in Boatyard. Once you have connected your QuickBooks account, please watch this video for how to set the sales tax.
Key Features of the Integration
Customer Import: Import all customers from QuickBooks into Boatyard, ensuring your customer database is always up to date. (Note: Only customers with email addresses will be imported.)
Invoice Sync: Any invoice created or updated in Boatyard will automatically sync to QuickBooks.
New Customer Creation: Customers added in Boatyard will automatically be created in QuickBooks when an invoice is sent to them.
Service Sync: Boatyard will create essential services in QuickBooks, such as Labor, Parts, Misc Charge 1, Misc Charge 2, and Service. You’ll need to confirm these are set to the correct 'Type' and income account in QuickBooks.
Step-By-Step Guide to Connecting to QuickBooks Online
Follow these easy steps to get started!
Access the Integration Settings
Click your name in the top-right corner of Boatyard.
Navigate to Settings and then go to the Integrations section.
Manage the Integration
Click on Manage Integrations,
Select the QuickBooks option.
And then click Configure.
Connect Your QuickBooks Online Account
You can name your integration (by default it will be called 'QuickBooks'). And then click Next.
Click the Connect to QuickBooks button.
Log in to your QuickBooks Online account.
If prompted, select the appropriate company file and confirm the connection.
After connecting, close the QuickBooks tab and return to Boatyard.
Import Customers
In Boatyard, toggle the option to Import Customers from QuickBooks. This will pull all customers with email addresses from QuickBooks into your Boatyard account.
⚠️ Customers in QuickBooks must have an email address for them to be imported into Boatyard.
And lastly, click Finish.
You’re now ready to manage invoices and customers seamlessly!

Verify Services in QuickBooks: Boatyard creates essential service items in QuickBooks. Double-check these items to ensure they are assigned the correct 'Type' and income account.
Not Available for QuickBooks Desktop: At this time, we don't offer an integration solution for QuickBooks Desktop.
