Parts Scanning Tool

Learn how to use Boatyard's Parts Scanner to manage your parts inventory

The Parts Scanning tool in Boatyard Pro helps team members quickly search for a part or scan a barcode to pull up part details and make quick updates to inventory levels. This feature is especially useful during inventory cycle counts or when restocking parts, making the process fast, accurate, and paper-free.

Finding & Editing Parts

Open the Boatyard Pro App

  • Launch the Boatyard Pro mobile app on your device.

  • Tap on the “Parts” tab from the main menu.

Search or Scan a Part

You can find a part in two ways:

  • Search by Name or Part Number: Use the search bar to type in the part name, number, or description.

  • Scan a Barcode: Tap the “Scan” button to open your device’s camera. Hold it steady over the UPC barcode of the part.

View and Edit Part Details

  • Once the part is found or scanned, a detail screen opens showing:

    • Part Name and Number

    • Quantity in stock

    • Location (if assigned)

    • Cost and Price

  • Tap the “In Stock” field to update the inventory count.

Save Changes

  • After making changes, tap “Save” to update the inventory in real-time.

  • Your updates are immediately reflected in the Parts database and visible to the rest of your team.


Audit Mode

Go to the Parts Section

  • Open the Boatyard Pro mobile app.

  • Tap the “Parts” tab at the bottom.

Toggle on Audit Mode

  • At the top of the screen, toggle Audit Mode to ON.

  • This changes the behavior of how parts are opened, streamlining the workflow for inventory counting.

Search or Scan a Part

You can find a part in two ways:

  • Search by Name or Number: Use the search bar to locate the part.

  • Scan a Barcode: Tap the Scan icon to open the camera and scan the UPC barcode on the part.

Edit Inventory Directly

  • When in Audit Mode, tapping a part takes you directly to the Edit Inventory screen.

  • This skips the standard Part Information page and speeds up the counting process.

Adjust the Quantity

  • Update the In Stock quantity field based on your count.

  • The Reason for Adjustment will be auto-filled as Inventory Count Adjustment.

  • Tap Save to confirm and update the inventory.

Reporting for Inventory Audits

Boatyard can provide detailed audit reporting to help you track what changes were made during an inventory session. You’ll be able to see:

  • Which parts were adjusted

  • Old and new quantities

  • The reason for the adjustment

  • Date and user who made the change

This makes it easy to spot trends, identify inconsistencies, and keep accurate records.
