G2 Tech Time Data Syncing

Learn more about how Boatyard syncs your techs' time data into G2

TL;DR

  • Tech labor hours and correction notes will instantly be synced between Boatyard and IDS.

  • You must do the following to ensure the successful syncing of data:

    • Create the work order in G2 and add labor lines if applicable

    • Import the work order into Boatyard

    • Assign jobs to the technicians from the line items in the order

  • Each morning, you'll receive an error report to show any time entries that were not synced.

    • You can also view this error report in the 'Reporting' section of your Boatyard Dashboard.

  • Not seeing Tech notes in G2?

    • Ensure your techs are entering their correction notes when they enter their time. And NOT in the 'Internal Notes' section of the job.

  • Tech notes different in G2 and Boatyard?

    • If a tech edits their note after they have saved their time, the change will NOT be synced to G2.

  • Question about charged hours in G2?

    • Boatyard only enters Actual Hours. However, the hours that you enter in Required will populate the Charged Hours when the time entry is synced.

Purpose:

This guide ensures that labor hours (Actual Hours) are accurately recorded in G2 using Boatyard’s automated process.

Labor hours are synced in real-time, with an error report emailed each morning for any unresolved entries. You can also view the error report in the 'Reporting' section of the Boatyard dashboard.

Scope:

This procedure applies to:

  • Service Writers, responsible for assigning jobs and ensuring proper data entry.

  • Technicians, responsible for logging time accurately in the Boatyard Pro app.

Prerequisites:

Before entering labor hours, ensure the following:

Jobs are assigned to technicians using Boatyard Scheduler.

Technician codes are stored in their Boatyard profiles. (Video)

Time is logged by technicians in the Boatyard Pro app.

Work Orders are imported from G2 into Boatyard.

Jobs are created in Boatyard from imported Work Orders, with the G2 Job Name included in the Boatyard Job Title.


Procedure:

Step 1: Prepare Labor Lines in G2 Before Assigning Jobs

  • In G2, create a Labor Line for each job before assigning it in Boatyard.

  • Each Labor Line must include:

    • A Labor Code

    • Required Amounts (if applicable)

  • You do not need to manually enter the tech code in IDS—Boatyard will assign it automatically. This will allow you the flexibility to assign to a different technician in Boatyard.

Important: If a job logs time without an existing Labor Line, Boatyard will create one using the default Labor Code "TC."

If Boatyard creates the labor line, the charged hours will NOT be added.

Step 2: Import Work Orders into Boatyard

  • The G2 Work Orders must be imported into Boatyard before assigning jobs.

  • Without an associated Work Order, Boatyard cannot map labor hours back to IDS.

Step 3: Assign Jobs to Technicians

  • Use Boatyard Scheduler to assign jobs to technicians.

  • Jobs will appear in the Boatyard Pro app, enabling technicians to log their time.

Step 4: Techs Enter Time and Correction

  • Technicians will enter their time in the job in the Boatyard Pro app

  • Technicians should also enter their correction notes when they enter their time.

If a technician edits their correction note AFTER it has been saved, the change will NOT be synced into G2.

We recommend that if a tech needs to make a change to a correction note, they do so in the Job Feed and tag the service advisor, so they can update it in G2.


FAQs

Why aren't my technician's notes in G2?

  • Your technician must be entering their notes with their time entry. Any notes added to the 'Notes' section of the job will not be sent to G2.

  • Tech notes entered on the screen below WILL be added to G2:

Why are my technician notes different in Boatyard and G2?

  • If a technician edits their correction note AFTER it has been saved, the change will NOT be synced into G2.

  • We recommend that if a tech needs to make a change to a correction note, they do so in the Job Feed and tag the service advisor, so they can update it in G2.

When will the time be entered into IDS?

  • The technician’s time and notes will be updated in IDS in real-time and should show within a few seconds. You will need to refresh your G2 work order to see the changes.

Why weren't my technician's times synced with G2?

  • There could be a number of reasons why the technician's time wasn't added to G2. Please refer to the morning error report email for the exact reason.

  • The most common issues are:

    • The work order or job is marked as complete in IDS

    • The work order is currently being edited and, therefore, locked

    • The work order wasn't imported into Boatyard

    • Mechanical ID not in Boatyard

Will Boatyard enter Charged Hours?

  • Boatyard only enters Actual Hours. However, the hours that you enter in Required will populate the Charged Hours in Actual when Boatyard enters Actual Hours.

  • Charged Hours remain unchanged. If you want Charged Hours populated automatically, enter Required Amounts when creating the Labor Line in IDS. Otherwise, Charged Hours must be entered manually.

Will the time from Standalone jobs be entered into G2?

  • No, we would not be able to enter the time from a standalone job into G2 as we would not have the work order information. However, the standalone job time will be included in the error report, so your team would know to manually enter the time.


Error Reporting & Follow-Up

  • Each morning, an error report will be generated for any time entries that could not be recorded in IDS.

  • Your store will only receive the error report if there are issues with any of your time entries. If your store does not receive the error report, there were no errors found.

  • Service Writers must review and resolve these exceptions promptly to ensure accurate payroll and invoicing.
