View Job Time in an Order

How to view the tech time and notes for a job in the line item of an order.

This feature links jobs and line items on an order, ensuring that:

  • Parts listed in the line item appear in the technician’s job.

  • Time and notes added by the technician are reflected in the line item.

This improves accuracy, simplifies workflows, and enhances visibility for both technicians and service teams.


Key Steps

Creating Jobs from Line Items

  • Link Jobs and Line Items

    • Create a job directly from a line item to automatically establish the link.

    • Parts listed on the line item will appear in the technician’s job.

    • Technician-entered time and notes will sync back to the line item.

  • How to Create Jobs

    • Click on the three dots menu next to the line item or at the top of the Order Detail section and then click the "Create Job" button to create the job invidudally or in bulk.

Managing Jobs and Line Items

  • Set Job Details

    • Assign the job to your technician.

    • Enter estimated hours for the job.

  • Technician Workflow

    • The technician will:

      • Receive the job.

      • View parts associated with the job.

      • Add time entries and time notes.

  • Reflect Technician Updates

    • Time and notes logged by the technician will automatically appear in the corresponding line item in the order.

Viewing Job Details in Line Items

  • Access Job Information

    • Click the three dots on the line item and select "Edit" to view job details.

  • Track Time and Status

    • Navigate to the "Time" tab to see:

      • Job status

      • Estimated time vs. logged time

    • Expand the view to see technician time entries and notes.

Sharing Job Details with Customers

  • Communicate Job Progress

    • Copy technician notes to include on customer invoices for clarity and transparency.

  • Adjust Labor Hours

    • If logged time exceeds estimated time (indicated by red highlighting), you might want to update the line item labor hours accordingly.

Monitoring and Adjusting Time Differences

  • Red highlighting alerts you when logged time surpasses estimated time.


Cautionary Notes

  • Creating Jobs

    • Always create jobs directly from line items to maintain the link.

  • Order Changes

    • Moving a job to a new order will break the link between the job and line item.

  • Re-Importing Work Orders

    • If you re-import a work order from your DMS (DockMaster, Lightspeed, or IDS), the job and line item link will be broken.

Tips for Efficiency

  • Bulk Job Creation: Use bulk actions to create jobs for multiple line items simultaneously and streamline workflows.

  • Review Time Entries: Regularly review technician time entries to monitor job progress accurately.

  • Enhance Communication: Copy and paste technician notes into the line item description to send to the customer for better transparency.
