Creating An Order

How to manually create an order in the dashboard

You may need to create an order in the Boatyard dashboard when your customer makes an order request outside of your customer portal. This could happen in situations such as order requests made:

  • Over the phone

  • In person

  • By email

  • By text


Steps to Create an Order:

  1. Log into your Boatyard dashboard.

  2. Click on the orange "New Order" button on the right side of your dashboard.

  3. A Create Order pop-up will arrive on your screen.

    1. ✅Does the customer already exist in your Boatyard account? or..

      1. If your customer already exists in your Boatyard dashboard, you can search for them by searching for their first name, last name or email address. If the customer is not found, they are not yet registered in the Boatyard system. To add their information, click on 'Add New'.

  4. After selecting your customer, you'll be prompted to select the boat associated with the new order. Ensure all of the information on this screen is correct and then proceed. If the boat information is not listed, you can add that information from this screen.

  5. In the next screen you will select the services being requested by the customer. The services available will come from the services you have set up in your Boatyard account. You can also add a new service here.

  6. 🎉Hit "Create Order" from this screen and you are all set! The new order is created and you can view it from your Orders page in your dashboard.

Adding a new customer

Boatyard users with a DMS integration have the option of using the search bar at the top of the window to import customers from their DMS. You can search by the customer's first and last name, just first name, just last name, email address or Customer ID to retrieve their information.

The dropdown box will display all matching customers. Scroll through to select the correct one.

If you are adding a new customer and not importing one, you will need to complete the required fields to fill in the customer's contact information.

📌Please note that for this screen, the address field is for the customers address, not the location of the boat.

The required fields are:

  • First Name

  • Last Name

  • Email Address

  • Phone Number

Once the information is filled in, click 'Save'.

Creating an order

Once you have selected a customer or added the new customer's contact information, you will be prompted to select their boat. Once you've selected the correct boat, click 'Continue'.

Adding a new boat for this order? Just fill out the required fields and then you can proceed.

The required fields are:

  • Boat Make

  • Boat Model

  • Boat year

  • Boat location address

If the customer and boat selected have any existing open orders, you will be prompted to either continue with one of the existing orders, or you can create a new one.

In the last screen you will select the services being requested by the customer. The services available will come from the services you have set up in your Boatyard account. You can also add a new service here.

Once a service is selected, you'll have the option to select an approximate time of the day, and add any Special Instructions like "Please remember to plug the Livewell."

Once your time is selected and any notes are added, click 'Create Order' to continue.

Your order is now created and automatically assigned to you. From here, you can reassign the order, create a quote, or send an invoice to the customer.
