Setup waiting list to facilitate higher class fill rate

Waiting List Setup & Management

The waiting list allows members to join full classes and automatically fills spots when someone cancels.

How the Waiting List Works

  • Automatic Enrollment: If a class is full, any new member who signs up is automatically placed on the waiting list.

  • Priority: Members are added to the waiting list in the order they sign up (First-In, First-Out).

  • Notifications: When a member is moved to the waiting list due to capacity, they will receive an automatic notification.

Moving from Waiting List to Signed Up

When a registered member opts out or cancels:

  1. The first person on the waiting list is automatically moved to the "Signed Up" status.

  2. The system sends a notification to that member to inform them they now have a spot.

Configuration & Limits

1. Limit Waiting List Spots Per Day

To prevent members from overbooking themselves, you can limit how many waitlist spots they can hold daily.

  1. Navigate to Dashboard > System Settings.

  2. Open the Booking Rules sub-section.

  3. Enter a value for Maximum waitlist spots per day.

Note: If a member reaches this limit, they will receive an error message when trying to join another waiting list.


2. Filling "No-Show" Spots (Auto-Cancel)

You can increase class fill rates by allowing waitlisted members to take the spots of people who haven't checked in by a certain time.

  1. Navigate to Dashboard > System Settings.

  2. Open Check-in & Attendance Policies.

  3. Enable Auto-cancel unconfirmed bookings.

  4. Set the Invalidation Interval (the cutoff time for registered members).

Example Scenario:

  • Earliest Check-in: 30 minutes before class.

  • Invalidation Interval: 5 minutes before class.

  • Result: Registered members can check in up until 5 minutes before the class starts. After that, their spot becomes available to anyone on the waiting list on a first-come, first-served basis.
