How to edit a center

Learn how to edit a center and update important settings such as center information, address, opening hours, images, emails, membership settings, tasks, and payments.

In this article, we will go through how to edit settings for an existing center.

Here you can update information such as name, address, opening hours, images, email settings, membership settings, tasks, and payment information.

Changes saved here affect how the center works in the system.

How to get there

  1. Open the Control Panel.

  2. Go to Facilities in the menu on the left.

  3. Select Centers.

  4. Click the center you want to edit.

  5. Click Edit in the top right corner.

You are now on the center editing page.

Update center information

This section contains the basic information about the center.

You can update:

Center name
The name of the center.

CVR number
The company identification number.

Short description
A short text used to describe the center.

Full description
A longer description of the center, facilities, and services.

Upload logo and center images

Center logo

To update the logo:

  1. Click the logo area.

  2. Select an image from your computer.

Requirements:

  • Minimum size: 250×250 pixels

  • The image is automatically cropped to a square format

  • Only one logo can be active at a time

Uploading a new logo replaces the existing one.

Center images

You can upload multiple images of the center.

Requirements:

  • Minimum size: 320×240 pixels

  • Images are automatically cropped to a 4:3 format

You can remove individual images or remove all images at once.

Address

Enter the physical location of the center.

The fields are:

  • Street name

  • Postal code

  • City

  • Country

Opening hours

Opening hours show members when the center is open.

You can update:

Day
Select which day the opening hours apply to.

Opens
Set the time the center opens.

Closes
Set the time the center closes.

You can:

  • Remove opening hours by clicking the X

  • Add additional opening hours using Add opening hours

You can add multiple opening hours on the same day if the center closes during the day.

Access system

If your center uses an access system such as JustFace or Danalock, you can connect locations or locks.

This section is only visible if an access system has been configured.

Email settings

Here you select which automated emails the system should send.

You can configure:

Referral confirmation email to candidate
Sent to the person who is referred.

Referral confirmation email to referrer
Sent to the member who created the referral.

Task booking confirmation
Sent when task bookings are confirmed.

General guest welcome
Sent to new guests.

If no email templates are available, create them first under Email Templates.

Trial class emails

You can enable automatic emails for trial classes.

Trial class welcome email

When enabled, a welcome email is sent when a guest books a trial class.

Select which email template should be used.

Trial class follow-up email

When enabled, a follow-up email is sent after the trial class to encourage the person to sign up for a membership.

Membership and lead settings

Here you configure settings for referrals, trial bookings, membership capacity, and waiting lists.

Referral bonus

Enable Referral bonus if members should be rewarded for referring new people.

When enabled, you need to enter:

Referral bonus amount
The amount the member receives for a successful referral.

Trial and membership limits

Maximum trial bookings per guest

Defines how many trial bookings a guest can make before a membership is required.

Global membership capacity

Defines the maximum number of active memberships allowed at the center.

If the limit is reached, a waiting list can be activated.

Waiting list settings

Waiting list settings are only shown when a membership capacity has been set.

You can configure:

Waiting list response time
How long a person has to accept an available membership spot.

Expired response can still join
Allows people to join after the response time has expired if spots are still available.

Waiting list notification method
Choose how people on the waiting list should be contacted.

Align membership renewals to the first of the month

Enable this setting if all membership renewals should happen on the first day of each month.

If disabled, renewals follow each member’s individual start date.

Task settings

Here you configure notifications and default settings for tasks.

You can configure:

Upcoming task notifications
Sends notifications about upcoming tasks.

Expired task notifications
Sends notifications when tasks expire.

Default location for task bookings
Selects the default location if no location is selected.

Notified about task approvals
Select which roles receive notifications when tasks require approval.

Payment and bank information

Here you configure payments for the center.

You can update:

  • Payment provider API key

  • Bank account number

  • IBAN

  • SWIFT/BIC

Bank information can only be edited after Collection agreement signed has been enabled.

Save changes

When you are finished:

  1. Scroll to the bottom of the page.

  2. Click Save changes.

The system saves your changes and shows a confirmation when the update is completed.

Troubleshooting

I cannot save changes

Check that all required fields are completed.

Common reasons:

  • Missing logo

  • Missing center image

  • Missing payment API key

  • Missing address information

I cannot edit bank information

Bank information becomes available after Collection agreement signed has been enabled.

I cannot see referral emails

Referral emails require a Premium or Platinum subscription.

I cannot find waiting list settings

Waiting list settings are only shown when Global membership capacity is set to a value greater than 0.
