Management Overview

What This Screen Does

This is your main dashboard — think of it as the cockpit of your business. It gives you a bird’s-eye view of everything that matters: how many active members you have, how sales are trending, which tasks need attention, who your most active members are, and more. All the numbers update automatically so you always have a real-time snapshot of how things are going.


How to Get There

  1. Open the dashboard.

  2. In the left-hand menu, click Management (under the Overview section).

  3. You are now on the Management Overview screen.


Step-by-Step Guide

  • At the top of the page you will see a Featured News carousel showing the three most recent blog articles.

  • The carousel rotates automatically, but you can also click the left and right arrows to browse manually.

  • Click on any article to open it in the blog reader.

  • On smaller screens the carousel appears at the very top; on larger screens it sits in the right-hand column.

2. Review the Key Performance Cards

If you have the Owner or Box Manager role, you will see nine summary cards arranged in a grid. Each card shows a metric, its current value, a percentage change, and a mini trend line.

Average revenue generated per member over their lifetime.

Last 7 days compared to the previous 7 days.

Drop ins

One-time visitors who attended without a membership.

Last 7 days compared to the previous 7 days.

Guest members

Members who attended as a guest of another member.

Last 7 days compared to the previous 7 days.

Sales

Number of sales transactions.

Last 7 days compared to the previous 7 days.

Class registrations

Number of class sign-ups.

Last 7 days compared to the previous 7 days.

Leads

New leads captured.

Last 7 days compared to the previous 7 days.

  • A green up-arrow and a positive percentage mean the number went up compared to the previous period.

  • A red down-arrow and a negative percentage mean it went down.

  • Hover over the mini chart to see exact values for each data point.

3. Check Pending Tasks

  • If there are tasks waiting to be started, a Pending Tasks card appears in the right-hand column.

  • Each task shows its name, the associated member, and the time span.

  • Click any task to go to the pending tasks list.

  • Click Show all at the bottom to view every pending task.

4. Check Unprocessed Tasks

  • If there are tasks assigned to you that still need action, an Unprocessed Tasks card appears below the pending tasks.

  • Each entry shows the task type, a status label (Ready, Processing, or Expired), the member name, and the time span.

  • Click any entry to open that task’s detail page.

  • Click Show all to see the full list.

5. View Today’s Guests

  • The Guests card lists people who have signed up as guests for upcoming classes.

  • Each row shows the guest’s profile photo, name, class name, and class start time.

  • By default only the first four guests are shown. Click Show more to see all of them, or Show less to collapse the list.

  • Click on a guest’s row to go to their member profile.

  • If no guests have signed up, you will see the message “No guests has signed up.”

6. View Top Members

  • The Top Members card ranks members by number of class attendances (highest first).

  • The top three members are highlighted with a trophy icon: gold for first, silver for second, and bronze for third.

  • Each row shows the member’s avatar, name, and attendance count.

  • Click on any member to go to their profile.

Filter by Date Range

  • Click the calendar icon in the top-right corner of the Top Members card.

  • A date range picker will appear. Select a start date and an end date to filter attendances to that period.

  • Use the quick-select buttons for convenience:

YTD

Sets the range from January 1st of this year to today.

MTD

Sets the range from the 1st of this month to today.

Reset

Clears the date filter and shows all-time data.

7. View Top Cities

  • The Top Cities card shows which cities your members come from, ranked by member count.

  • Each row displays the country flag, city name, and member count.

  • This helps you understand where your audience is concentrated.

Troubleshooting

  • The stat cards are only visible to users with the Owner or Box Manager role.

  • Ask your administrator to check your role assignment under the employee settings.

  • If you believe you should have access, try logging out and back in — your role may have been updated recently.

“All the numbers show zero”

  • Make sure you have the correct gym/location selected in the top navigation bar. The dashboard shows data for the currently selected gym only.

  • If your gym is brand new, there may simply be no data yet. Add some members, register them for classes, or process a sale, and the numbers will start appearing.

  • Try refreshing the page — the data may not have finished loading.

“The percentage change arrows are all red / negative”

  • This is not an error. A red arrow means the metric decreased compared to the previous period.

  • For the first three cards (Active members, Active memberships, Member lifetime value) the comparison is month-over-month.

  • For the remaining six cards the comparison is last 7 days vs. the 7 days before that.

  • Seasonal dips or slow weeks are perfectly normal.

“The Pending Tasks or Unprocessed Tasks card is missing”

  • These cards only appear when there are tasks to show. If you have no pending or unprocessed tasks, the card is hidden — that is a good thing!

  • If you expect to see tasks, check the Tasks section in the main menu to confirm they exist.

“The Guest list says ‘No guests has signed up’”

  • This means no one has registered as a guest for upcoming classes at the selected gym.

  • Guests appear here when a member brings someone along and signs them up through the class registration flow.

“The Top Members card is empty”

  • Top Members only includes members who have at least one attendance recorded.

  • If you are using a date filter (via the calendar icon), try clicking Reset to clear the filter and show all-time data.

  • New gyms with no recorded attendances will naturally have an empty list.

“I clicked on a guest or member but got an error page”

  • The member’s profile may have been deleted or deactivated since the dashboard loaded.

  • Go back to the dashboard and refresh the page to get the latest data.

  • If the problem persists, search for the member directly in the Members section.

  • The carousel shows the three most recent blog articles. If no articles have been published yet, it will be empty.

  • To add articles, go to the Blog section and create a new post.

“Data seems outdated or does not match what I just changed”

  • The dashboard loads data when the page first opens. It does not auto-refresh in real time.

  • Refresh the page (or navigate away and come back) to pull the latest numbers.

  • If you recently switched gyms using the gym selector, the dashboard should reload automatically. If it does not, try a manual refresh.

“The mini chart on a card is not showing”

  • The trend line only appears when there is enough historical data to draw it (at least one data point).

  • For brand-new metrics with no history, the chart area will be blank. Give it a few days of data collection.
