Habit Templates

Learn how to create, manage, and assign habit templates to clients. This guide covers library habits, scheduling, sync modes, member app logs, and coach tracking.

Written by Kevin Wagner

A habit template is a reusable set of habits that a coach applies to a client to start a habit program.

Three terms appear in this guide:

  • Habit: one action from the shared habit library, for example "Drink 2 liters of water".

  • Habit template: a named set of habits with a schedule for each habit. Coaches build it once and apply it many times.

  • Habit program: the copy of the habits that one client follows. A program comes from a template or a coach builds it from scratch.

A coach uses a template to give many clients the same habit plan in one action. Later changes to the template do not change running programs until someone syncs them.

Habit templates are part of the coaching features. The staff member needs the role of owner, box manager or personal trainer. Alongside having the coach package.

The client needs an active coaching engagement (a coach and client relationship in the Dashboard) before they can get habits.

The coach builds templates from library habits and applies them to a client. The member logs the program's habits in the app, and the logs feed the coach's signals.

Structure

A template is a list of library habits, each with its own schedule. When a coach applies the template, the system copies each habit into the client's program. The member then logs each habit on the days it is due.

Habit item

Each habit in a template has these fields.

Field

Values

Habit

One habit from the library

Frequency

Daily, Weekly or Specific days

Days of week

Monday to Sunday. Used by Specific days, and by Weekly to set the day.

Time of day

Anytime, Morning, Lunch, Evening or Custom

Custom time

A time in 15-minute steps. Only for Custom.

Custom note

Optional. Maximum 512 characters. Translatable. The member sees it in the app.

The time of day does not change which days a habit is due. It changes only the group in the app and the reminders.

Habit library

The habit library holds the habits that templates use. The system has 12 built-in habits that all gyms share. A gym can add its own habits with "Create custom habit".

A library habit has a Name, a Description, an Icon and a Category.

Habit program and habit logs

A habit program belongs to one coaching engagement. It holds a copy of the template habits, a start date, an optional end date and a status: active, paused or completed. It also remembers the source template and its version, for a later sync.

A habit log records that the member did one habit on one date. There is at most one log per habit per day.

Create a habit template

You create a template in the Dashboard under Coaching > Habits > Habit templates. A new template starts as a draft. Clients can get it only after you publish it.

  1. Open Coaching > Habits > Habit templates.

  2. Click "Create habit template".

  3. In the Details card, type a Name. The Name is required.

  4. Optionally, type a Description.

  5. Select a Category: Nutrition, Sleep, Lifestyle or Hydration. The Category is required.

  6. Optionally, type the Duration (weeks) as a whole number.

  7. Optionally, add one hero image. The Dashboard crops it to 16:9.

  8. In the Habits card, click "Add habit" and select a habit from the library.

  9. If the habit is not in the library, click "Create custom habit".

  10. For each habit, set Frequency, Time of day and, if necessary, Days of week or Custom time.

  11. Optionally, type a Custom note for each habit. The client sees this note in the app.

  12. Use "Move up" and "Move down" to set the order of the habits.

  13. Click "Create" to save a draft, or "Create and Publish" to save and publish in one step.

If a habit row has no habit or no frequency, the Dashboard drops that row on save without a warning. Look at the habit count in the side card after you save.

Create a custom habit

The "Create custom habit" dialog adds a new habit to the shared habit library of the gym. Other templates and programs can then use it too.

Field

Rule

Habit name

Required

Description

Optional

Category

Default is Lifestyle

You can also type a name in the Habit picker and select 'Create "{name}"'.

Translate a template

The Languages card sets the base language. The default is English. To translate, select another language in "Edit text in" and type the text again.

You can translate only the name, the description and the custom note of each habit. The habits and the schedule are the same in all languages. Click "Back to {language}" to return to the base language.

Coaches can apply the template. You cannot set it back to draft.

Archive

Status is published

The template is hidden from new applications. Running programs do not change.

Clone

Always

The Dashboard makes a new draft copy and opens it.

There is no delete button for a template. To retire a template, archive it.

Publish increases the version number by one. A new template is version 1, so the first publish makes it version 2. A later edit of a published template saves the changes but does not increase the version.

The edit page shows the "Version history" (who changed what and when) and "Engagements on this template" (each client that uses the template).

Assign a habit template to a member

A coach can apply a published template in five ways. Each way makes a habit program for a client with an active coaching engagement. Only the start date is set at apply time. There is no end date and no note in the apply dialog.

Apply from the template list

  1. Open Coaching > Habits > Habit templates.

  2. On the template card, click "More options" and then "Apply".

  3. In "Engagements", select one or more clients. The list shows active engagements only.

  4. Set the Start date. The default is today.

  5. Click "Apply", or "Apply to {{count}} engagements" for more than one client.

If you select two or more clients, the Dashboard does a bulk apply. The "Bulk apply results" dialog then shows the number that succeeded and failed. Each failure has a reason, for example "Template is not published". Each success has a "View program" link.

Assign from the engagement page

  1. Open the coaching engagement of the client.

  2. On the Habits tab, click "Assign a habit". This button shows only when the client has no running program.

  3. Alternatively, open the quick actions and click "Assign habit".

  4. Select a published template from the list.

  5. Set the Start date in the apply dialog and click "Apply".

If no template fits, click "Create new template" in the same dialog.

New habit program from a template

  1. Open Coaching > Habits > Habit programs.

  2. Click "New habit program".

  3. In step 1, select the client.

  4. In step 2, select "From a template".

  5. Select the Template and the Start date.

  6. Click "Create from template".

Journey stage

A journey template (a sequence of coaching stages) can start a habit template at one stage. In the journey stage editor, set "What starts" to "Habit template". Then select the template, the Start day and the "Wait for" condition.

When the coach applies the journey, the habit program starts at that stage. The "Apply journey" dialog asks for the Journey template, the Start date and Notes. Managers can also select "Skip gates". The journey stage is complete when the habit program becomes completed.

Nutrition template link

A nutrition plan template can link one habit template. When a coach applies the nutrition template, the habit template is applied to the open engagement of the client. If the client has no open engagement, the nutrition plan is saved without the habits. In the nutrition template, use "Link a habit program". Use "Edit habits" to change it and "Unlink" to remove it.

Sync after a template change

A program keeps the template version it started with. When the template version is higher than the program version, the program shows "Needs sync". On the template edit page, turn on "Needs sync only" to see these clients.

The sync compares habits by the library habit. The fields that sync are frequency, days, custom note, time of day and custom time.

The sync dialog "Preview template sync" has three modes:

Sync mode

Adds new habits

Removes extra habits

Changes existing habits

Additive

No

Structural (preserve edits)

Yes

Only fields that the coach did not edit. If both sides changed a field, the coach value stays.

Force overwrite

All fields get the template values

Other ways a member gets habits

A coach can also give habits to a client without a template. Use this for a plan that only one client needs.

Build a program from scratch

  1. Open Coaching > Habits > Habit programs.

  2. Click "New habit program".

  3. In step 1, select the client. The list shows active engagements only.

  4. In step 2, select "From scratch".

  5. Type a Name. The Name is required.

  6. Optionally, type a Description.

  7. Set the Start date. The default is today.

  8. Optionally, set an End date. It cannot be before the Start date.

  9. Add habits with "Add habit" or "Create custom habit", the same as in a template.

  10. Click "Create program".

If no template is published, the Dashboard selects "From scratch" automatically.

Add or change one habit

There is no separate flow to give one habit to a client. To add one habit, open the program at Habit programs > program > edit. Then click "Add habit" and save.

The same edit page changes the frequency, time of day or note of a habit. A program from a template keeps these edits. A "Structural" sync keeps them too.

Program status

The coach controls the program on its edit page.

A program with an end date changes to completed automatically. A job does this each day at 01:20 UTC after the end date.

How the member sees habits

Members see their habits through mobile app.

The app shows only the habits that are due today. A habit is due by its frequency:

Frequency

Due on

Daily

Every day

Weekly

The first selected day, or else the weekday of the program start date

Specific days

Each selected day

Home screen card

The home screen has a habits card. It shows a ring with "X / Y done today" and a list of today's habits, grouped by time of day. The member taps a habit to mark it done. When all habits are done, the app shows a celebration.

Habits screen

The Habits screen has two tabs.

  • Today: the ring, then the habits grouped as Morning, Lunch, Evening, Custom and Anytime. Each habit shows its name, icon, the coach's Custom note and a streak flame.

  • Progress: the current and best streak for each habit and a 12-week heatmap of completed habits.

  • Empty states: the app shows a message for no program, a rest day, or all habits done.

Done habits turn gray, get a line through them and move to the bottom.

Missed habits

The app marks a habit as missed from the local time of the phone. Custom and Anytime habits are never marked as missed.

Time of day

Missed from

Morning

12:00

Lunch

15:00

Evening

21:00

Streaks

A streak counts the due days in a row on which the member logged the habit. Days on which the habit is not due do not break the streak. If streak freeze is on, the app forgives one missed day in any 7 days. A second miss in 7 days ends the streak.

How the member logs a habit

A habit is done or not done. The member taps the habit once to log it, and taps again to undo. There is no skip, amount or partial value.

  1. Open the home screen card or the Habits screen.

  2. Tap the habit to mark it done.

  3. To undo, tap the habit again.

Rules

  • The log is always for today in the time zone of the gym. The member cannot log a past or future day.

  • A second tap on a done habit does not make a second log. The server returns the log that exists.

  • The program must be Active. If the coach paused or completed the program, the server rejects the log.

What a log changes

A log does not send a message to the coach. It updates these values:

  • the streak and heatmap of the member

  • the habit adherence and daily score in the nutrition view

  • the 30-day habit compliance and the Habits pillar on the coach dashboard

  • the last activity of the client, which the stale client check uses

The coach sees the logs on the member profile under Habits. The coach can give feedback on a log. The member gets that feedback in the app inbox.

Reminders and nudges

A member gets at most two habit reminders each day, at 11:00 and at 21:00 in the gym's time zone. The reminders go by push and in the app inbox, never by email.

Reminder

Local time

English text

Morning digest

"Morning habits ready" / "You have N habits to log."

Evening nudge

21:00

Exactly one habit is due and not logged

"Almost there!" / "You're 1 habit away from clearing today." + "Log it" button

Each reminder goes once per day at most.

A tap on a reminder opens the Today tab of the Habits screen. The "Log it" button on the evening nudge logs the last habit without opening the app.

Which habits cause a reminder

  • Habits with time of day Morning, Lunch, Evening or Custom count in the reminders.

  • Habits with time of day Anytime never cause a reminder and do not count in N.

  • Lunch and Custom times do not have their own reminder. They count in the 11:00 digest.

Turn reminders off

The coach turns habit reminders on or off for one member. Open the member profile, go to the Habits tab, and use the "Habit reminders" switch. The switch controls push and in-app reminders for all habits together.

The member cannot turn habit reminders off in the app. To stop reminders for one habit only, set its time of day to Anytime.
