A journey template is a reusable coaching plan. It puts your other templates in a fixed order, so that a member gets the right thing at the right time.
A journey template joins four kinds of templates that you already know:
Onboarding templates (intake questions for a new member)
Program templates (training programs)
Nutrition plan templates
Habit program templates
Each part of the journey is a stage. A stage starts on a fixed day after the journey starts. A stage can also wait for a gate, which is a condition that must be true first. For example, the training program can wait until the member completes the intake form.
You build a template one time and use it for many members. When you apply it to a member, the system makes a journey assignment (the member's own copy of the journey). The system then starts each stage on its day and makes the real program, plan, habit program or onboarding for the member.
Journey templates belong to your chain. All coaches in the same chain see the same library.
Structure of a template
A template has two parts: the details, which describe the journey, and the stages, which do the work.
Details
Field | Required | What it does |
Name | Yes | The name that coaches see, for example "12-week strength journey". |
Short name | No | A name with lowercase letters, numbers and dashes. The system makes one from the name if you leave it empty. It is unique in your chain. |
Description | No | Tells other coaches who the journey is for. |
Duration (weeks) | No | For information only. The stage start days control the real timing. |
Category | No | A tag such as Weight loss, Muscle gain, Strength, Endurance, Mobility, Beginner, Nutrition or Rehabilitation. You can also type your own. |
Hero image | No | A cover image in the 16:9 format. |
Base language | Yes | The language that you write the template in. You can add translations for other languages. |
Stages
Each stage starts one item for the member. A stage has these fields:
Field | What it does |
Stage name | A short name, for example "Build the base". The member and the coach see it on the timeline. |
Stage ID | A technical key, for example |
What starts | The kind of template: Program template, Nutrition template, Habit template or Onboarding template. |
Template | The template that the stage starts. The list shows only published templates. For programs, it shows personal-training programs only. |
Start day | The number of days after the journey starts. Day 0 is the first day. |
Wait for | The gate. "No gate" is the default. Gates have their own section below. |
Program schedule | Program stages only. You can set the days of the week and a start time. With no days set, the program runs on consecutive days. |
Two rules apply to stages:
A journey can have only one onboarding stage, because a member fills in one intake form per journey.
Each stage starts exactly one template.
The order of stages in the editor is for display only. The start day and the gate control when a stage really starts. Two stages can start on the same day, for example a program and a nutrition plan on day 0.
How to create a template
Before you start, make sure that each template you want to use in a stage exists and is published. The stage picker shows only published templates. If one is missing, the "Create new" button beside the picker opens the right editor in a new tab.
In the Dashboard menu, open Onboarding & journeys, then Journey templates.
Click Create journey template.
Under Details, type a name. Fill in the optional fields that help other coaches.
Under Stages, click Add stage.
Type the stage name. The stage ID fills in from the name.
In What starts, select the kind of template.
In Template, select the template.
In Start day, type the number of days after the journey start. Use 0 for the first day.
In Wait for, select a gate if the stage must wait for a condition.
For a program stage, open Advanced to set the week days and start time.
Add the other stages. Use Move up and Move down to put them in a clear order.
Click Create to save a draft, or Create and Publish to make it available at once.
If the form shows "Fix before saving", read the message. It names the stage with the problem, for example "Stage 2 needs a template."
Translations
Use the language tabs at the top of the form to translate the name, description, category and stage names. Leave a field empty to show the base text in that language.
Template status
A template has three statuses. Only a published template can be applied to a member.
Status | What you can do |
Draft | Edit it freely. Delete it. Publish it. It cannot be applied to members. |
Published | Apply it to members. Edit it. Archive it. It cannot go back to Draft. Each publish adds 1 to the version number. |
Archived | It does not show when you apply a journey. Members who already have it keep their journey. |
Other actions in the list menu:
Clone makes a new draft copy with "(copy)" after the name. Use it to change a published template without risk.
Delete works only for a draft that was never applied to a member.
The version history on the edit page shows who created, updated, published or archived the template, and when.
How to assign a journey to a member
You assign a journey by applying a published template to a member's coaching engagement. A coaching engagement is the coaching relationship between you and the member. The system makes it when a personal-training membership gets a trainer.
Before you apply
The member must have a coaching engagement that is not off-boarded.
The template must be published.
The member can have only one active journey at a time. A completed journey does not block a new one.
You must be the primary coach of the engagement, or have the Owner, Box Manager or Super Admin role.
Where you apply it
Place | How |
Engagement hub, Quick actions | Click Apply journey. |
Engagement journey section | If the member has no journey, click Apply journey. After a journey is complete, click Apply additional journey. |
The apply options
The Apply journey dialog has four fields:
Field | What it does |
Journey template | The list shows published templates, with the version and the number of stages. |
Start date | Day 0 of the journey. The default is today. |
Skip gates | Owner, Box Manager and Super Admin only. Due stages start at once, also if they have a gate. |
Notes | Optional. Why you chose this journey, for example. |
Three ways to time a journey
The start date changes what happens when you click Apply:
Start today. All stages with start day 0 and no gate start at once.
Start on a future date. Nothing starts now. Each stage starts on its own day.
Start on a past date. Each stage whose start day already passed starts at once, if it has no gate. Use this for a member who already began the plan.
When a stage starts, the member gets the real item. For example, a nutrition plan stage makes a nutrition plan for the member, and the member gets the usual "plan assigned" notification.
If one stage cannot start during apply, the system cancels the whole apply. Nothing is saved, and the dialog shows "Could not apply journey".
Gates
A gate makes a stage wait for a condition. A stage with a gate starts only when both are true: its start day arrived, and its gate is met. In the stage editor, the gate is the "Wait for" field.
Gate | The stage starts when | How the gate opens |
No gate | The start day arrives. | Not applicable. |
Onboarding complete | The member completed their onboarding form. | The stage starts as soon as the member submits the form, if its start day arrived. |
Coach review | A coach signed the review for this journey. | Click Sign coach review on the journey card. The stage starts at once, if its start day arrived. |
Baseline metrics | The member has a weight and a height recorded on or after the engagement start date. | Record both metrics, for example with Add metric in Quick actions. The nightly check then starts the stage. |
When the system checks gates
The system checks gates at three times:
Every night at 02:45 UTC, for all waiting stages whose start day arrived.
At once, when the member completes onboarding or a coach signs the review.
At once, when another stage in the same journey completes.
A stage with the baseline metrics gate can wait up to one day after the member records the metrics, because no event triggers a check.
What the coach sees
On the journey card, a waiting stage shows "Gate blocked" with a reason:
Reason | What to do |
Onboarding not completed | Remind the member to complete the onboarding form. |
Coach review pending | Read the intake, then click Sign coach review. |
Baseline metrics missing | Record a weight and a height for the member. |
Source template stage missing | The template was edited after the journey was applied. See "Edit a template that is in use" below. |
Overriding a gate
Owners and Box Managers can override gates in two ways:
Skip gates in the Apply journey dialog. This starts only the stages that are due on the apply day. Stages with a later start day still wait for their gates.
Activate now on one stage. The stage starts today and ignores its gate.
A coach without these roles can use Activate now only on a stage that has no gate.
Tips for using gates
Put the onboarding stage on day 0 with no gate. Then gate the first program or nutrition stage on Onboarding complete.
Use Coach review when you want to read the intake before the member gets a plan.
The Coach review gate belongs to one journey. A review that you signed on an earlier journey does not open the gate on a new one.
What a journey results in
A journey results in real items for the member, and it ends as Completed when every stage is Completed or Skipped.
What each stage makes
Stage kind | What the member gets |
Onboarding template | An onboarding form to fill in. If the member already completed onboarding, the stage is Completed at once. |
Program template | A personal-training program assignment, on the week days and start time set in the stage. |
Nutrition plan template | A nutrition plan that starts on the stage date. |
Habit template | A habit program. |
These are normal items. You see and edit them in the member's usual program, nutrition and habit views.
Stage status
Each stage of a journey has one of four statuses:
Status | Meaning |
Pending | The start day did not arrive, or the gate is not met. The item does not exist yet. |
Active | The item exists and the member works on it. |
Completed | The item reached its completed status, for example the nutrition plan was set to Completed. |
Skipped | A coach skipped the stage, with an optional reason. |
A stage completes on its own when its item completes. You do not mark the stage itself. For example, when you set a nutrition plan to Completed, its stage becomes Completed. Then the system checks the other waiting stages in the journey at once.
Journey status
A journey has two statuses, Active and Completed. It becomes Completed when no stage is Pending or Active. After that, you can apply a new journey to the member.
Coach actions on a running journey
The journey card in the engagement has these actions:
Action | Use |
Sign coach review | Opens the Coach review gate. You can add notes. |
Skip stage | Ends the stage as Skipped. Allowed when the stage is Pending or Active. |
Reschedule | Moves the start date of a Pending stage. Pick today or a later day. The gate still applies. |
Activate now | Starts a Pending stage today. It ignores the gate. |
Skip stage does not stop an item that already exists. If you skip an Active nutrition stage, the nutrition plan keeps running. End the plan in the nutrition view if the member must stop it.
Each action, and each automatic change, adds an event to the engagement history. Examples are "Applied journey", "Stage activated" and "Stage skipped".
Other things to know
Edit a template that is in use
If members have a running journey from a template, do not edit and save that template. Clone it instead.
Each save replaces all stages of the template. The waiting stages in members' journeys then lose the link to their template stage. They stay Pending with the reason source template stage missing.
To change a template that is in use, do these steps:
Click Clone on the template.
Edit the copy.
Publish the copy.
Archive the old template.
Members on the old template keep their journey. New members get the new one. If a member already has a stuck stage, skip it and assign the item by hand in the program, nutrition or habit view.
An example template
This example shows a 12-week strength journey that uses all four kinds of stages:
Stage | What starts | Start day | Wait for |
Intake | Onboarding template "New client intake" | 0 | No gate |
Build the base | Program template "Strength basics", Mon, Wed, Fri at 07:00 | 0 | Onboarding complete |
Eat for strength | Nutrition template "High protein" | 7 | Coach review |
Sleep habit | Habit template "8 hours of sleep" | 14 | Baseline metrics |
In this example, the member fills in the intake on day 0. The program starts when the intake is complete. The nutrition plan waits for day 7 and for your review. The habit program waits for day 14 and for a weight and a height.
Checklist before you publish
Each stage has a clear name that the member understands.
Each stage uses a published template.
The journey has at most one onboarding stage.
Stages that need intake data wait for Onboarding complete or Coach review.
The start days give the member time between stages.
The description tells other coaches who the journey is for.
Common mistakes
If you skip the onboarding stage, stages that wait for Onboarding complete stay blocked. The member must complete onboarding, or an Owner must use Activate now.
If you skip a stage, its item does not stop. End the item in its own view.
If the member already completed onboarding before, the onboarding stage is Completed at once. Stages gated on Onboarding complete then start on their start day.
If the apply fails with "This engagement already has an active journey", finish or skip the stages of the current journey first.
If you cannot delete a template, it was published or applied. Archive it instead.
You cannot delete a program, nutrition, habit or onboarding template while a journey template uses it. Remove it from the stages first.
Access and timing
Journey templates show in the menu only for gyms that have coaching engagements turned on.
All coaches in the chain can see the template library.
Dates use UTC. The nightly gate check runs at 02:45 UTC.
