A workout assignment puts one workout on one PT client's schedule for one date and time. You build workouts in the Dashboard. The client sees them, does them and logs them in the mobile app.
You use assignments to:
give each PT client a plan between your sessions,
see which workouts the client completed, skipped or missed,
follow the weights, reps and personal records that the client logs.
To use this feature, your gym needs the Coach package. Your role must be owner, box manager or personal trainer to see the Coaching menu.
Structure
A workout is a named list of exercise lines. Workouts live in templates, and an assignment links one copy of a workout to one client and one date.
The building blocks, from smallest to largest:
Item | What it is | Where you manage it |
Exercise type | A library entry, for example "Back squat", with difficulty, muscle groups, equipment and videos | Coaching > Workouts > Exercise library |
Exercise line | One prescription inside a workout: sets × count × unit, with a weight or a percentage of a rep max | Inside a workout |
Workout template | A reusable workout: name, type, time cap, description and exercise lines | Coaching > Workouts > Workout templates |
Program template | An ordered list of sessions. Each session holds one or more workouts | Coaching > Workouts > Program templates |
Assignment | One workout for one client at one date and time, with a status | Coach calendar, member profile, recurring assignments |
An exercise line has these fields:
Field | Meaning |
Exercise | The exercise type from the library |
Sets | The number of sets |
Count | The amount per set, for example 10 |
Unit | REPS, METERS, KM, TIMES or CAL |
Men's weight / Women's weight | The weight in kg. Shown only when the unit is REPS |
Percentage and Relation to | A load as a percentage of a rep max, from "1 RM" to "20 RM" |
Muscle Groups | The muscles that the line trains |
Exercise Video | A demo video that the client sees |
The app shows each line as text, for example "3 x 10 Squat 60 kg (Men) / 40 kg (Women), 80% af 1 RM".
The structure has no fields for rest time, tempo, supersets, circuits or set types such as warm-up or drop sets. Each line has one prescription for all its sets. If you need these details, write them in the workout description or the assignment notes.
A program template has no weeks or days. It is a list of sessions in order. The dates come from the start date and spread mode that you pick when you assign the program.
Create a workout
You create workouts as templates. Every assignment copies a template, so build the template first.
Add your own exercises (optional)
The exercise library has global presets (the "Default" tab) and your gym's own exercises. You cannot change presets or add videos to them. If you need your own demo video, create your own exercise.
Go to Coaching > Workouts > Exercise library.
Click "New exercise".
Enter the "Name", "Abbreviation" and "Difficulty".
Select the "Muscle groups" and "Equipment".
Click save. The message "Exercise created. Add videos below." appears.
Click "Upload video" for a file, or "Link external video" for a URL.
If the exercise has more than one video, click "Set as default" on the video that clients see first.
Build a workout template
Go to Coaching > Workouts > Workout templates.
Click "New workout template".
Enter a "Path" to file the template in a folder, for example "Strength/Block 1".
Enter the "Workout name" and select the "Workout type".
If the workout has a time limit, enter the "Time cap" as HH:MM:SS.
Write the "Description". Put rest times, tempo and coaching cues here.
Click "Add Exercise" for each exercise line.
For each line, select the "Exercise" and fill in "Sets", "Count" and "Unit".
Add a weight, or a "Percentage" with "Relation to".
Drag the lines into the correct order.
Click "Create".
The time cap also controls how long the workout blocks the client's calendar. Without a time cap, the system uses 60 minutes.
Build a multi-session program
Use a program template when a client follows a set of sessions in order, for example a 12-session strength block.
Go to Coaching > Workouts > Program templates.
Click "New Personal Program".
Enter the "Name" and the "Path".
Click "Add New Program" to add a session.
Add one or more workouts to the session. Build them in place, or use "Import workout template".
Optionally, fill in "Coaches notes", "Equipment list", "External references" and "Timeline". The client sees the coach notes in the app.
Repeat steps 4 to 6 for each session, in the order that the client does them.
Save the program.
To reuse a workout that you built inside a program, click "Save workout as template". If you set the toggle to "Warm-up", the template does not appear in the "Assign workout" library.
The Dashboard has no button to duplicate a workout template. To make a variant, create a new template.
Assign a workout to a PT client
You can assign workouts in six ways. All of them put dated workouts on the client's schedule in the mobile app.
Method | Where | Best for | PT membership check |
Assign workout | Coach calendar, or member profile > Training | One workout to one or more clients, on one or more dates | Yes |
Schedule from template | Workout templates list > "Schedule" | A quick one-off from the template list | Yes |
Assign program | Coach calendar > "Assign program" | A full multi-session program | Yes |
Recurring assignment | Coaching > Workouts > Recurring assignments | The same workout on fixed weekdays | No |
Schedule PT session | Engagement hub quick action | A session tied to a coaching engagement | Yes |
Journey stage | Journey template applied to an engagement | Automatic program start when a stage begins | No |
The PT membership check means this: every date must fall inside the valid period of one of the client's personal-training memberships. If it does not, you see "No active personal-training membership covers {date}" or "Date is outside the personal-training membership window".
The system sends no notification to the client when you assign a workout or a program. Tell the client yourself, or add a comment.
Assign workout
Open the Coach calendar, or open the member profile and go to the "Training" tab.
Click "Assign workout".
Select one or more "Clients". The list shows only clients with a PT membership that has not expired.
Select the "Workout" from your template library.
Select "Single date" or "Multiple dates", then pick the date and time.
Optionally, link a "Related goal". You can do this only for one client and one date.
Optionally, write "Notes" for the client.
Click "Assign".
The footer shows "Will create {count} assignments" before you confirm. If some clients or dates fall outside a membership, the system skips them and tells you how many it skipped.
Schedule from the template list
Go to Coaching > Workouts > Workout templates.
On the template row, click "Schedule".
Select the client and the date.
Click "Apply".
Assign program
Open the Coach calendar.
Click "Assign program".
Select the "Client" and the "Personal program template".
Select the "Start date" and "Start time".
Select the "Spread mode": "Consecutive days", or "Days of week" with the weekdays you want.
Read the preview, for example "12 programs · 12 workouts · ends 2026-11-20".
Click "Schedule {n} workouts".
If a session has more than one workout, the system schedules them one after the other on the same day, based on each time cap. If the program goes past the end of the membership, the dialog shows a warning.
Recurring assignment
Go to Coaching > Workouts > Recurring assignments.
Click to create a new recurring assignment.
Select the "Workout template" and one or more "Clients".
Select the "Days of week", the "Start date" and the "Time of day".
Enter an "End date", or select "Use count instead of end date" and enter the "Number of assignments".
Save. The system creates one schedule per client.
With an end date or a count, the system creates all the workouts at once. Without an end, it keeps the next 28 days filled, and a nightly job adds more.
If you edit a recurring assignment, the system changes only future workouts that the client did not start or move. If you delete it, future untouched workouts go away and the history stays.
Recurring assignments do not do the PT membership check. Make sure that the client's membership covers the dates.
Schedule PT session from an engagement
An engagement is a coaching relationship between you and one client.
Open the client's engagement hub.
Click the quick action "Schedule PT session".
Select "Attach workout" and pick a template, or select "Bare session" and enter a "Session title".
Pick the "Scheduled date" and write "Notes".
Click "Schedule session".
You must be the primary coach of the engagement, or an owner or box manager. A bare session has no exercises, so the client can only mark it done or skipped.
Journey stage (automatic)
A journey template is a staged coaching plan for an engagement. If a stage points at a PT program template, the program starts for the client when the stage begins. It uses the stage start time and weekdays. If the program cannot start, the stage stays Pending with a note.
What the client sees
The client sees assigned workouts in the schedule of the mobile app. The Members website does not show them.
The schedule lists upcoming workouts by date, with their status. If nothing is assigned, the client sees "All clear" and "Your coach is shaping the week. Check back soon."
When the client opens a workout, the detail screen shows:
the workout title, type, time cap and description,
"Notes from coach", which come from the assignment notes and the program coach notes,
each exercise line with sets, count, unit, weight or percentage, muscle groups and equipment,
the demo video of each exercise, if it has one,
a "Start workout" button, or "Resume" if the client already started.
If you entered both a men's and a women's weight, the client sees both. For percentage loads, the app can suggest a weight based on the client's best logged result for that exercise.
How the client does and logs a workout
The client starts the workout, logs each set, and finishes it. The finished log goes to you with any new personal records.
Do the workout
The client taps "Start workout". The status changes to In progress.
For each set, the client enters the reps, the weight and, optionally, the RPE (rate of perceived exertion, 1 to 10).
The client taps "Finish workout" and enters the duration in minutes, or finishes without a time.
The status changes to Completed. If a set beats an earlier best, the app shows "New personal record on {exercise}!"
The app saves sets while the client is offline and sends them when the connection comes back. A client can also start a late or missed workout.
Other client actions
Action | What happens |
Discard | Only while in progress. The app deletes the logged sets, and the workout goes back to Scheduled. |
Mark done without logging | The status changes to Completed. No sets are stored. |
Mark skipped | The status changes to Skipped. |
Reschedule | The client moves the workout to a new date and picks a reason, such as illness, injury, work, travel, family or equipment. You get a notification. |
Your gym controls client rescheduling in the gym configuration, on the Members tab:
Configuration | Default |
Allow clients to reschedule their own workouts | On |
Reschedule cutoff (hours) | 48 |
Maximum reschedules per workout | 3 (0 means no limit) |
A client cannot move a workout to a time that overlaps another of their scheduled workouts. If the client moves a missed workout, it goes back to Scheduled.
What the log stores
Each set stores the reps, the weight in kg and the RPE. The finished log stores the duration. The current app does not store an overall rating or a session note for assigned workouts.
After the client finishes, nobody can change the log. This applies to you and to the client.
The system tracks three personal records per exercise: max weight, estimated one-rep max, and best volume in one set. It estimates the one-rep max as weight × (1 + reps / 30).
The client also has a workout history and progress charts per exercise in the app.
Workout statuses
A started workout either finishes as completed or goes back to scheduled. A missed workout can return to Scheduled when someone reschedules it.
Status | Set by |
Scheduled | The system, when you assign the workout |
In progress | The client starts the workout |
Completed | The client finishes or marks it done, or you mark it |
Skipped | The client or you |
Missed | A nightly job, for scheduled workouts more than 24 hours past their time, or you |
Every night, the client gets a "Missed workout" notification for each past workout that is still Scheduled or In progress. If a client has 3 or more past workouts, you get "Client missed multiple workouts".
Follow up as a coach
You follow your clients in three places: the member profile, the Coach calendar and the engagement hub.
Member profile
Tab | What you see and do |
Training | The "Workout Assignments" card, with filters for past or upcoming 90 days, coach, program and status. Compliance chips show "This week: done/total" and "This month: done/total". |
Workout logs | Each finished workout with name, date, duration and exercises, and a "PR" badge. Open a log to see each set: reps, weight, RPE and total volume. |
Progress | "Personal Records" per exercise, and "Exercise progress" charts with estimated 1RM and top weight. |
On each assignment row in the Training tab you can:
"View workout",
"Mark completed", "Mark skipped" or "Mark missed",
"Reschedule" to a new date,
"Open comments".
Coach calendar
The Coach calendar shows only the assignments where you are the coach. Filter by status to find missed or skipped workouts.
To move a workout, drag it to a new date. Click "Undo" if you made a mistake.
To remove a workout, open it and click "Delete assignment". You cannot delete a completed workout.
To stop a program, open one of its workouts and click "Revert program planning". This deletes all remaining scheduled workouts in the program. Completed, in-progress, missed and skipped workouts stay.
Programs complete automatically the night after their last session date.
Comments
On an assignment, click "Open comments" to write to the client about that workout. Comments need an open coaching engagement with the client. Without one, you see "No open coaching engagement for this member".
The engagement hub shows program progress, for example "8 of 12 workouts complete", and the upcoming workouts.
Change a workout after you assign it
You can change the date, the status and the notes of an assignment. You cannot change the exercises of a workout that you already assigned.
Changes to a template do not reach workouts that you already assigned. Each assignment uses a copy that the system made at assignment time. To give a client the changed workout:
Delete or revert the old future assignments.
Assign the changed template or program again.
If you edit a program template while clients follow it, their assigned workouts can stop opening in the app. Revert and reassign the program for those clients.
Tips, limits and common questions
Tips for a new coach
Before you assign, make sure that the client has an active PT membership for all the dates.
Give every template a time cap. The calendar and the reschedule overlap rule use it.
Use folders in "Path", for example "Strength/Beginner", to keep the library in order.
Put rest, tempo and supersets in the description, because the exercise lines have no fields for them.
Tell the client when you assign new work, because the system does not notify them.
Look at the Training tab each week. Act on missed workouts early.
Common questions
Why does a client not appear in the "Clients" list? The client has no PT membership that is still valid. Add or renew the membership first.
Why were some assignments skipped? The dates fell outside the client's PT membership, or the same workout was already on that date.
Can the client see my notes? Yes. The client sees assignment notes and program coach notes as "Notes from coach".
Can I log a workout for the client? Not in the Dashboard. The client logs in the app. You can mark the workout completed without sets.
Can I fix a wrong weight in a finished log? No. Finished logs cannot be changed.
What happens if I delete a template? The template leaves the library. Workouts that you already assigned stay on the client's schedule.
Why do I see an error that the feature is not available? Your gym plan does not include that coaching feature. Contact the gym owner.
