Adding a coach and setting up coach documents

Add a coach to the system, setup the registration process, and create documents for them to sign or upload.

Before adding a coach to the system, you can set up documents for them to sign or upload. For example, they may need to sign an agreement, and you may request they upload a certain certificate.

Set up Documents

  1. In the school dashboard, go to Programs, then Coaches.

  2. In the Coaches drop down, click Documents.

  3. Here you will see your current created Documents. Click the Add Document button in the top right corner.

  4. Set the School Year, and give the document a Name.

  5. Select the document Category. If a coach needs to upload something, choose Request, or if you upload a document for them to sign, click Agreement.

  6. If the document requires a signature, select Coach below Signature.

  7. Set the Validation Rules. These rules determine how long the document is considered valid. Performed after Date and Latest Acceptable Date are optional.

    • Duration in Days determines how long the document stays valid until updates are required. Set to 0 for unlimited.

    • Performed after Date will check if the document was completed after the set date.

    • Latest Acceptable Date checks if the document was completed before the set date.

  8. Enter additional details in the Description field.

  9. If you're uploading a document, click Choose File. Upload your agreement PDF or a blank PDF form, etc.

  10. If the document is required, toggle on Require.

  11. By default, documents are set up as two-page, front and back. You have the options to name each page, add more than two pages, and mark them as required or not. Each page name must be unique.

  12. Optionally, set an Open Date for when the document becomes available, and a Close Date for when you no longer want to accept submissions.

  13. Click Save when done.

Once you have all of your Documents created you are ready to add a coach.


Add a Coach

  1. On the Programs page, go to the Coach List from the drop down.

  2. Click Manage Coaches in the top right, then Add Coach from the drop down.

  3. Enter the coaches Name, Email, Cell Phone Number, and optionally their School phone number.

  4. Enter their BoEE Folder # (Concussion Training Attendance).

  5. Enter their License Expiration Date.

  6. Select the coach's Level. Select High School for those coaching high school or both high school and middle school, or Only Middle School for coaches only at the Middle School level.

  7. Select their Gender.

  8. You can adjust the invitation email by editing the Subject and Body.

  9. Once you've entered all the required (*) information, click Create Coach.

Once you've added them, the coach will receive an email invitation with a link directing them to complete the registration process.

Connect the Coach to a Bound User

The final step to get your new Coach added is to connect the Coach to a Bound User account.

  1. Go to the Coach List.

  2. Click on the red icon next to the Coach's name. This will direct you to the User page of the Coach's Profile.

  3. Connect the Coach to an existing Bound Account in your system or Invite a New User to connect to this Coach Account by clicking the yellow Send Invite button.

Approve a Coach

Once the coach completes the required documents, you'll need to approve them. If there is an issue, you can reject the coach and then send them a message to explain why you rejected their documents and what you need them to change to get approval.

  1. Go to the Coach List and click the edit icon next to the coach.

  2. In the Documents tab, click Approve Coach at the bottom of the page.

  3. Leave a note if desired, then click Confirm Approval in the pop up window.

  4. The coach has been approved. Reject at any time by navigating to the same spot and clicking Reject Coach.
