How to Setup Meet Registrations

How to setup track, cross country, and swimming, meet registrations in Bound

NOTE: To access these pages you'll need to have the "Schedule" and Meet Entry Management" permissions enabled for your account. This link will help your AD or other school admin set those permissions



1. To setup registrations under your school, whoever is doing the setup will need to be invited as an admin user for your school (we recommend setting them up as an AD for now).

To set up under a school, log into your school and click the Events page. On the Events page then click the Registrations tab.



2. On the Registrations page, click New Registration in the top right corner.


3. Basic Registration Info

Enter registration Title, Activity, Reg Open/Close Date/Time, Gender, and select Time Input settings. Then click Save.


Time Input Settings Explained:

This feature is new compared to vbmeets and is one of the main advantages of registrations being moved inside of Bound.

Explanation of each option:

Do Not Allow Time Input - This option forces all seed marks to be set based on the season best performance list. Coaches may not override any season best marks.

Allow Time Input - By default the season best mark will be used, but coaches will have the option of overriding the season best mark with a better or worse mark than the season best. This option is best for early season meets where season best marks have not been established and you still want your coaches to enter a reasonable mark for seeding purposes.

Allow Time Input (no improvements) - This is the same as above except the coaches can only enter a worse mark than the season best. This option is best when you want a coach to enter a mark for an athlete (or relay) that isn't their top mark. This is for athletes coming off injuries or relays that don't include the top runners.

Relay Events Only - This is the same as option 2, except it only applies to relay events, not individual events.

Relay Events Only (no improvements) This is the same as above, except only worse marks will be accepted.

Individual Events Only - This is the same as option 2, except it only applies to individual events, not relay events. (this would rarely be used)

Individual Events Only (no improvements) - This is the same as above, except only worse marks will be accepted.


4. Divisions

Enter each Division name and Division Code, and click Add. Repeat this until you've created all your needed divisions. If you don't have any divisions, skip this page and click Save. (IMPORTANT NOTE: divisions don't apply to swimming)

Example

Name: Varsity, Code: 01,

Name: Junior Varsity, Code 02


Make sure these codes match the codes in that are set up in Hytek, the division code needs to match both the Division number and Code. To find these in Hytek, go to Setup > Divisions/Regions > Divisions, and there will be a breakdown of your divisions.

You do not need to make a separate division for boys and girls. If a “COED” meet is selected the system will do that for you.

5. Events

To add events to the registration, click the green + button next to the event, if needed adjust the division settings in the pop up menu, and then click Save.

COED Meets: If you have a COED Meet, an event can be added for a specific gender.

Customer Events: To create a Custom Event, click the green Add Custom Event button. Enter the Name, if it is a relay or individual event, if you measure the event by time or distance, and the hytek code.

Once you've added all the events to your list, double check both genders, or each divisions, lists to make sure they are correct. Then click Save.


6. Limits

By default min and max relay limits have already been set. Limits can be set by overall event or by a specific event. To add a limit, select the limit type, event, limit number, and click the green Add button. Once you've add the limits you want, click Save.

7. Payments

Enter the entry fees you'd like to apply to each category needed. Then mark how you'd like to manage the collection of the registration payments. You can connect a Stripe account to collect online payments. Select to not require online payments, or choose to not collect online payments at all.
