Sending Emails with Asset Attachments to Your KeepMail Address

There are three different workflows that let you utilize KeepMail to get assets into BrandKeep. At the bottom of this article is a .gif of how the process works.

Forwarding an email that has attachments you would like to get into BrandKeep.

Letโ€™s say that your sales rep has sent you an email for the upcoming sales window with an order form and line sheet attached. You can quickly get these assets into BrandKeep by forwarding this email to your KeepMail address.

  • Click on the forward option from your email client, enter in your KeepMail address and send.

  • The order form and line sheet will appear on your Assets dashboard. From here you will want to add the assets to the BrandCard for that Brand.

    • The easiest way to locate these new assets on your Assets dashboard is to use the filter option and filter by assets that have no brand associated with them. To do this, click on the filter at the top of the Assets dashboard. Next, click on the Brand Card field to show a dropdown of all brands, and click on โ€œ(No Brand)โ€. This will display only assets that have no brand making it easier to locate those new assets you just added to BrandKeep using Keepmail.

    • Click the multi-select checkbox for these new assets.

    • Click on Actions, and select Edit

    • From the Edit Assets pop click on the Brand dropdown and choose a brand to add the assets to that Brand Card.

      • If these assets belong to the same workspace or category you can also add the assets from here as well.

Send email attachments to BrandKeep yourself.

  • You may find it easier to use the KeepMail workflow to get assets from your computer into BrandKeep. To do this just attach any asset to a new email and send it to your KeepMail email address. Then follow the steps above to add the assets to a brand.

Give your KeepMail email to a contact

  • You can enable a contact in BrandKeep to send emails with attachments to your KeepMail email. This allows you to skip the step of forwarding the email yourself and just have this person send it straight to BrandKeep.

  • What is beneficial about this method is that the assets your contact sends will automatically be assigned to the same brand that your contact is.

  • To enable KeepMail for a BrandKeep contact, turn on KeepMail on the contact edit screen.

Below is an example workflow of sending an XLS file attachment from an email, navigating to that file in BrandKeep, and then adding the brand, workspace, and category to the file asset.
