This guide is for Admin and HR users.
Breathe's Rota, Time & Attendance module lets you schedule shifts, track the hours people actually work and manage timesheets, all in one place. The first time you open it, a step-by-step setup wizard helps you tailor it to your business.
Before you start
š” Please note: we recommend switching off sample data before you set up Rota, Time & Attendance. If it's on, sample job titles can appear as options during setup. How to switch off sample data
How to open Rota, Time & Attendance
If you haven't set up the module yet, clicking any option in the Rota, Time & Attendance menu takes you straight to the setup wizard. If it's already set up, you'll have the option to choose which area of the module to view.
Bringing your data across from Core HR
Rota, Time & Attendance works best with your real people, so it uses the information you already hold in Core HR. What you see first depends on whether you've added your people yet.
If you haven't added any people yet
You'll see the Add your team in Core HR first screen.
Click Add employees in Core HR to add your people. How to add your people in bulk
š” Good to know: you can assign departments and locations using the Full employee template or in bulk via the people page. If using the import, ensure to set up all departments and locations in HR before downloading your template.
Departments: add them to your picklists. How to set up picklists
Locations: go to Company > Locations and click +.
You can also assign jobs using the Jobs template. You don't need to set these up first, because they're added straight against each person through the import.
If you've already added them, click I've added them - refresh.
If you already have people in Core HR
You'll see the Bringing in your data from Core HR screen. A tick appears next to each item as it comes across:
ā
Locations
Departments
Jobs
Employees
Leave & sickness
You don't need to do anything here. Once it's finished, you'll move on to the next step, where you can check everything before you confirm it.
š” Good to know: if you're not importing your people in bulk, you can create new locations and departments as you go through the setup wizard.
Choosing your route
On the How would you like to start? screen, pick the route that matches how your business works. Each one has its own setup guide:
Time & Attendance: time capture only. Ideal if you need clock-in and clock-out, geofencing, break rules and timesheets, but not shift planning.
Rota: scheduling only. Ideal if you want to build rotas, assign jobs and set coverage.
Rota + Time & Attendance: the complete package. Plan shifts and capture the hours actually worked, so you can compare the two.
š” Please note: if you start with Time & Attendance, you can add rota planning later in Settings > Account mode without losing anything.
