Pay in Rota, Time and Attendance

Pay rates, overtime and weekend pay, ready for payroll

Written by Bianca Brace

This guide is for Admin and HR users.

Rota, Time & Attendance uses your team's hourly pay to cost your rota and calculate what each hour should be paid at. You'll find everything under Rota, Time & Attendance > Settings > Pay.

1. Pay rates

Pay rates show each employee, their job and their Hourly rate. Rates come from Core HR. To add or change a rate, update the employee's pay details in Core HR. The rate will then show in Rota, Time & Attendance, and on the rota itself.

šŸ’” Please note: if someone isn't paid hourly in Core HR, you'll see a dash instead of a rate, and their hours won't be costed on the rota.

How costs show on the rota:

2. Pay elements

Go to Rota, Time & Attendance > Settings > Pay settings > Pay elements. A pay element is a type of paid hour.

  • a Name, like Ordinary hours or Overtime

  • a Multiplier, like 1x for normal pay or 1.5x for time and a half

  • an Export code for your payroll

Every account starts with Ordinary hours (1x, code ORD) as the default. To add another, click Add pay element, fill in the details and click Save.

Used by shows where each pay element is used. Pay elements aren't given to people directly. They're applied through daily bands and weekend loadings.

To edit, archive or delete a pay element, click the three dots in the Actions column.

šŸ’” Good to know: archived pay elements stay in past reports under their current name, but you can't use them in new daily bands.

Pay elements also show in the Timesheet report, and you can filter by them. See Reporting.

3. Payment conditions

Go to Rota, Time & Attendance > Settings > Pay settings > Payment conditions to decide when each pay element is used.

Daily hour bands

Pay hours differently depending on how long someone works in a day. For example, the first 8 hours as Ordinary hours, and anything after that as Overtime.

  1. Click Add band and set it up.

  2. Choose the Effective from date.

  3. Click Save changes.

  4. Click Assign employees to choose who it applies to, and when.

Bands count hours worked in a day, not clock times, so a 12-hour night shift is still 12 hours.

šŸ’” Please note: until you add a band, all hours are paid as your default pay element.

4. Weekend loadings

Pay Saturdays and Sundays differently from your daily bands, for example, at time and a half. When weekend loadings are off, weekends are paid using your daily bands. Click View and assign employees to choose who's eligible.
