Managing Administrator Rights on Breathe

If you are the current admin user of your Breathe account and want to transfer this access over to another user then this article will take you through the process.

The account Administrator is key to managing billing, enabling additional modules, purging data, and canceling subscriptions.

Additionally, please note that only one Admin user is allowed per account at any given time.

Please note, that only the Admin user of the account can do this. 

To transfer Admin rights, follow these steps:

To identify the current Administrator on your account:

  1. Navigate to People > Our People in the Breathe dashboard.

  2. Look for the letter 'A' beside the name in the permissions area. This individual is the Administrator.

  1. Log in to Breathe as the admin user.

  2. Navigate to your own employee profile > More > Permissions > Organisational Roles > Edit (pencil icon) > HR User to ensure the new user has HR permissions.

  3. Go to the profile of the user you’d like to designate as the new Admin.

  4. Navigate to More > Permissions > Edit (Pencil Icon) and ensure it’s updated correctly.

  5. Return to your profile. At the bottom of the permissions page, locate the Admin designation section and update it to the new HR User.

Scroll to the bottom of the page to locate the 'Admin Change' section.

Click the edit (pencil) icon and at the bottom of the page you will have the option to change the admin to another HR user

Select the employee and click 'submit'. If you can't see the person in the list, they will need to be given HR user rights first before you can assign them with the admin roles

For transferring admin rights to an external HR Advisor, ensure they are converted to an internal HR User first. Verify all auto-filled information during this process for accuracy.

To assign someone with HR user rights, go into their employee profile > more tab > permissions > mark yes as an HR user. 


FAQ's

I only have 1 HR user within my account- what do I do?

If your Breathe plan is a Micro account (less than 10 employees) you will only have 1 HR user and will not be able to move admin user permissions to another HR user. In this case, we ask that the current admin user please sends an email to support@breathehr.com stating the name of the person who is to receive admin user permissions and we will help you transfer the admin permission.

Our admin user has left and we need to move permissions over

When the current Admin user has left the company, At Breathe, the security of your data is our top priority. If your current Admin user has already left the company and you need to transfer permissions to a new person, we follow a secure protocol to ensure your account remains protected.

1. Who can make the request?

To verify the change, the request must be sent via email to support@breathehr.com by a Director or CEO currently listed on Companies House.

2. What information is required?

To help us process your request quickly, please ensure the email clearly specifies the following details:

  • The Account Name (The name used on your Breathe account)

  • The name of the current Admin user (The person who has left)

  • The name of the new Admin user (The employee you wish to assign)

3. Enabling Support Access

To action the transfer, our team requires temporary access to your account. Please follow the step that applies to your situation:

  • If another HR-enabled user is available: They should log in and go to Help > Enable Support. This allows us to facilitate the change immediately.

  • If no other HR user is available: The Director must include a statement in their email explicitly authorising our development team to access the account to enable support on your behalf.

Please note that we must follow these strict instructions in full when changing an Administrator on a customer's behalf due to the sensitive personal data, including their financial details, which are stored within any Breathe account. This is for you - our customers' protection.


I'm a client of a Breathe Partner- who is my admin user?

If you are a client of a Breathe Partner, please note that your Partner contact will be your listed admin user.
