Changing carryover amount/duration if you've entered your new holiday year

A step-by-step guide on how to change your carryover amount OR duration once you've entered your new holiday year.

In this guide, we outline the 3 common scenarios when it comes to carryover and finishing your holiday year, and what you need to do for each.

Please note, if you've not made any changes to your carryover, you can generate this across to your employee's profiles by going to Configure > Settings > Holiday year > Finish holiday year.

1. I only need to change the amount of carryover for my employees

Because you've already rolled into your new holiday year, you'll need to make an adjustment to amend this figure.

2. I need to change the amount AND the duration of carryover

You'll need to make an adjustment to change the amount of carryover.

You can use our notes and reminders feature to give you a nudge when the carryover is due to expire.

How do I change the amount of carryover?

If the 1st or 2nd scenarios apply to you, here's what you need to do to change the amount of carryover.

​a. Check leftover leave from the year previous:

Go to Reporting > Reports > Holiday Allowances and filter to the relevant year and apply the filter. It should look something like this:

b. Make a note of who had what remaining

c. Make a quick adjustment

Once you've jotted down this information, you'll need to make a quick adjustment on each person's profile to make up the difference between what's already been carried over and what hasn't.

To do this, go to their Profile > Leave > Add a manual adjustment

If you only want to change the duration of expiry for the carryover, you'll need to create a new holiday allowance with the new duration i.e 6 months and then assign this to the necessary peoples profiles.

Once you have assigned the new allowances, you'll see the new duration for expiry and have everyone's holiday entitlement back on track πŸ‘πŸ»

Please note

Making manual adjustments to reflect carryover is another way of reflecting carryover on your employees' profiles.

If you are reflecting carryover this way, you do not need to also action the 'finish holiday year' button, as this could cause duplication of carryover.
