The ways to use and view timesheets within the Rota, Time & Attendance module.

This guide will show you the different ways you can use & view your timesheets within the Rota, Time & Attendance module.

What is a timesheet and how is it created?

A timesheet can be created to show the hours your employees have worked.

Timesheets can be created in many ways, and manual timesheets can be added by employees (either on desktop, or via the app).

An admin user of Rota, Time & Attendance can also manually add a timesheet on behalf of an employee. These can also be created automatically once an employee has clocked in and out of their shift.

We've put together a few examples of different views below:

Viewing timesheets

There are multiple ways to view your timesheets within the Rota, Time & Attendance module.

Rota screen

You can view the timesheets alongside your rota view, by activating this within your rota page view (as shown below):

Once this filter has been applied, you'll be able to view timesheets for each day, (whether a shift has been assigned, or not).

To view the details of a timesheet, simply click on the timesheet. This will then show the specifics - including the location that the employee clocked in from (If the GPS setting is enabled). The map shows the clock on location.

Please note: only the clock-in location will be captured. No street address will be provided but you can zoom in to see a more precise location.

Timesheets - daily

This view shows all the timesheets created for a specific day. You can change the date by selecting the arrow to move along to the appropriate date. To change the location, simply select the appropriate location from the drop-down (as shown below).

Timesheets - weekly

This view shows all the timesheets for a specific week. Like daily timesheets, you can change the week by clicking the arrow to move the dates along. You can also click on the dates to pull up a calendar view and select from there. You can view this by location as well.

Timesheet approvals

Depending on your account settings, timesheets may require approval once inputted. These will show in the weekly and daily views.

Timesheets are colour-coded to clarify which stage each timesheet is at (e.g. timesheets that have violations or needed action taken).

  • Yellow = awaiting approval

  • Red = awaiting approval and violation has occurred

  • Green = approved
