1. What Rota, Time & Attendance does

Rota, Time & Attendance brings your rota, clocking in and timesheets together in Breathe. It uses the people and information you already keep in Core HR, so you don’t have to type anything in twice.

Your team can see their shifts and clock in from their phone, their computer or a shared device at work. Every clock-in becomes a timesheet entry, ready for you to check and approve.

You can switch on your free 2 week trial for Rota, Time, and Attendance by clicking 'upgrade' in the left hand navigation bar, or via the plan and billing settings page.

2. Three ways to use it

When you first open Rota, Time & Attendance, a step-by-step setup helps you choose how you’d like to start:

  • Time & Attendance: clock-in, timesheets and break rules, with no shifts or rotas to set up.

  • Rota: build rotas across jobs and locations, then publish them to your team, with no clock-in.

  • Rota + Time & Attendance: plan shifts and record the hours actually worked, all in one place.

You can change this later in Settings > Account mode.

💡 Good to know: if you start with Time & Attendance, you can add rotas later. You won’t lose anything you’ve already recorded.

3. What comes across from Core HR

When you set up, these come across from Core HR for you to check:

  • your employees

  • locations

  • departments

  • jobs

  • leave and sickness

To make a change, update it in Core HR and it’ll carry across.

💡 Good to know: you’ll need to add your employees in Core HR before you can set up Rota, Time & Attendance. Getting started with Rota, Time & Attendance shows you how.

4. Key features

  • Guided setup: a step-by-step setup brings across your Core HR information and helps you choose how you work.

  • Rota: build your team’s week and copy it forward. Your team can’t see anything until you publish.

  • Coverage: set how many people you need in each job, and see a warning when you publish if you’re short.

  • Leave on the rota: leave and sickness from Core HR show on the rota automatically.

  • My shifts: employees can see their week and clock in, clock out and start a break.

  • Timeclock: turn a shared tablet into a clock-in point, with a PIN for each person.

  • Location checks: set an allowed area around each location, and choose whether to record where people clock in.

  • Live attendance: see who’s in, who’s on a break, and who’s running late or missing.

  • Timesheets: clock-ins become timesheet entries with your break rules applied, ready for you to approve.

  • Pay: set how each type of hour is paid, then download hours and estimated pay in the Timesheet report.

  • Email notifications: everyone chooses which emails they get.
