How to Manage an Existing Booking - Edit, View & Resend

Make edits, view booking details, and resend communications — all without leaving the booking.

Everything you need to manage a booking in Brindlechute is available in one place. From the booking view, you can update details, communicate with clients and guides, collect payments, and more.


Add or Edit Notes

Every booking has three types of notes, each visible to a different audience:

  • Client Notes – Visible to the client in their portal

  • Private Notes – Visible only to you and your team

  • Guide Notes – Visible to the guide in their portal

You can add or update any of these notes at any time.


Make Changes to the Booking

You can modify a booking at any stage:

  • Change dates or group size – The invoice updates automatically when you make changes.

  • Reschedule or cancel a specific experience – You can adjust individual experiences without canceling the entire booking.

  • Add experiences or add-ons – These can be added the day before, the day of, or even after the trip, as long as the booking is still open. Each add-on will generate a new invoice for you to send.

Tip: To create new add-ons, go to the Add-Ons page in the left sidebar.


Share or Resend Booking Information

Need to send something to your client? From the booking, you can:

  • Resend the invoice reminder to the booking client

  • Copy the invoice link to share manually

  • View the client portal to see exactly what your client sees

  • Share the client portal link via a direct link, invite link, or QR code

When you resend, the Sent to section of the send window lets you redirect that message — to another address saved on the client's record, or to someone who isn't the client at all. See How to Send an Invoice to an Alternate Email Address.


Handle Payments and Cancellations

You can also manage all payment and cancellation actions directly from the booking:

  • Collect payment – Accept manual payments, credit card, or ACH

  • Pay guides – Send guide payments from the same screen

  • Cancel and refund – Process cancellations and issue refunds as needed


That's all there is to it. The booking view is your one-stop shop for managing everything from first edit to final payment.
