What deposit plans do
Deposit plans let you collect part of the total up front and schedule the remaining balance automatically, based on your rules.
Set up your deposit plan
Click your outfitter name in the top left to open Organization settings, then select Fee settings → Deposit Settings and toggle on the deposit plan:
Deposit amount — a percentage (e.g. 25%) or a flat rate (e.g. $250). The remaining balance is calculated automatically, so a 25% deposit leaves a 75% balance.
Deposit due date — the number of days after the invoice is sent. Set it to 0 to make the deposit due the day the invoice goes out. Reminders don't start until this date passes.
Balance — choose Days before, On, or Days after, then whether that applies to the trip start or trip end date. Example: 10 days before the trip start, or 3 days after the trip end.
Next Calendar Year Bookings (optional) — toggle on and set a due date for next-year trips. You can invoice now, and payments and reminders pick up automatically in the following year.
How this affects the client's invoice: Your final-payment schedule controls what clients see on their invoice link. Outside the window, they can pay the deposit; once the trip date falls inside it, the invoice requires the full balance. If a client needs to pay a different amount at that point, collect it manually from the booking.
If you'd rather not use a deposit plan
Turn the deposit plan off to require full payment at booking.
To collect partial payments without a deposit plan, do it manually from each booking's detail page.
