How to handle gifted bookings

When a client books and pays for a trip they're gifting, they can manage participants from their itinerary—keeping your roster accurate automatically.

Sometimes a client books and pays for a trip but doesn’t plan to attend—like gifting it to friends or family. Brindlechute makes this simple by letting the client manage participants directly from their itinerary.


What Clients Can Do

After booking, the client receives their confirmation email and itinerary link.

From the itinerary, they click Invite Guests to add attendees. They can enter guest details (name, email, phone) or share the invite link so guests can add themselves.

Under Manage Participants, the client can uncheck themselves as attending and mark the correct guests instead.


Key Points for Outfitters

  • The booking client remains the payer and main point of contact, even if they don’t attend.

  • Only guests marked as attending will appear in the Trip Detail page, where their documents and waivers need to be completed.

  • These same attendees will be the only names that appear in guide reports, ensuring guides can accurately record who was in their boat or wade trip.

  • The itinerary automatically updates with the correct participant list for each trip day.

Encourage clients to manage attendees through their itinerary—this keeps your roster, documentation, and reporting accurate without manual updates.
