When managing a booking, you may need to add more clients to a trip. This could be additional guests joining the booking client or clients added later after the trip was created. You can add them directly from the Manage Trip screen.
Desktop Steps
Go to the Trip Calendar.
Click on the booking you want to manage.
Select View Trip Detail.
Scroll down to Manage Trip by Day.
Find the Clients section.
Click on an empty client slot.
Choose one of the following options:
Select an existing client from your client list.
Create a new client if they are not yet in your system.
If creating a new client, enter their details (name, email, phone, etc.), then click Save.
Mobile Steps
Open your account in your mobile browser. On your Trip Calendar (default view).
Tap the date where the trip you want to edit is scheduled.
The view will switch to the Daily View.
Tap the trip you want to edit.
Go to the Assignment tab.
On the Manage Trip by Day section, under Clients, tap an empty client slot.
Choose one of the following:
Select an existing client from your list.
Create a new client and enter their details.
Tap Save.
NOTE: All clients added to a trip will receive the pre-trip reminder. Depending on the number of days you set, it is sent before the trip to anyone added beforehand. You can also click Send next to a client to send their itinerary individually, reducing manual work.
If you only need the headcount, not a client record
An empty client slot cannot be filled without selecting a client. If the party arrived with more people than were entered on the booking, or someone booked a spot and did not show up, you do not need to create a placeholder or dummy client to make the count come out right.
Record the number of people actually guided in the guide report instead. This keeps the guided client count and guide pay accurate — for example, a party of three where only two clients were entered on the booking.
