The Assignment Calendar gives outfitters a 30-day snapshot of guide assignments, trip status, section use, and payment details—all in one screen. It's designed to make outfitter scheduling quick, visual, and easy to interpret.
Above the calendar grid, the same Availability stats bar used on the Trip Calendar shows Total trips, Unassigned, Avg guides open / day, Guide utilization, and Days with no guide open for whatever range is in view. See Manage trips and bookings from the calendar for what each stat means.
Accessing the Assignment Calendar
From the left sidebar, select Assignment to open the Assignment Calendar (Minesweeper view).
Navigating the Calendar
Default view (Show Full Month off):
The calendar starts from the selected day on the far left
Dates move forward to the right
Use the arrows near Today to move by shorter date ranges
Click Today to return to the current date
This view is ideal when reviewing availability for a specific booking date.
Full Month view (Show Full Month on):
The calendar displays the entire month (1st–last day)
You move month by month instead of selecting a single day
A black vertical line highlights today's date within the month
For example, viewing January will show January 1–31, with the current day highlighted.
Use the calendar icon at the top—between the month range and the Guide/Section tabs—to move through months.
The system remembers where you left off and automatically reopens the assignment calendar at your last viewed date.
Calendar View Options
You can control how much of the calendar you see at once. Switch between four density options:
Daily — A single day in full detail.
3-Day — A condensed look at a three-day window.
10-Day — A mid-range view covering ten days at a glance.
Monthly — The full month laid out in compact blocks.
All views display the same information — color schemes, client initials, and trip details — just at different zoom levels. Use a wider view for big-picture planning and a tighter view when you need to focus on a specific stretch of days.
Guide View
Guides are listed vertically on the left. Dates run horizontally across the top.
Use the A–Z / Z–A toggle above the guide list to sort alphabetically, or use the Filter by Rank option to sort guides by seniority level instead.
Each square on the grid represents one guide on one day.
If a guide has a trip booked, the square displays the client's initials—so you can instantly see which guide is running which trip.
Multiple trips for the same guide on the same day appear as stacked blocks in that guide's row under that date. Click any square to open a quick summary of the trip. From there, select Manage Booking or View Trip Detail to access the full record.
Partial availability
When a guide has a timed trip (such as a half-day or hourly experience) or has blocked a portion of their day on their calendar (for example, 1–3 hours), their block will appear with a yellow outline instead of a solid fill. This indicates the guide is partially booked — they have something scheduled but may still have availability for another booking depending on timing.
To see a guide's exact hours, click into the block or switch to the Daily trip calendar view to see their full schedule for that day.
Open and Partially Open Guide Rows
Beneath the Unassigned row, two summary rows show guide availability for each date in view:
Open guides — the number of guides with full open capacity that day.
Partially open guides — the number of guides who have something scheduled or blocked but still have time free.
Each column gives the count for that date, so you can scan across the month and spot the days where coverage is thin before trips get booked into them.
Note: These rows count guides for a single date. The Availability stats bar above the grid summarizes the whole visible range instead — see Manage Trips and Bookings from the Calendar for what each of those stats means.
Section View
Switch to Section View to track use and limits by river section instead of guide.
Each row represents a section, with its defined capacity shown vertically where guide names normally appear.
Columns show the same 30-day range, and client initials appear in each grid block for that section and day. Click any block to view trip details—including the assigned guide, client, and experience.
This layout helps you manage daily section limits, balance traffic, and prevent over-allocating permitted sections.
Switching Between Guide and Section Views
At the top of the calendar, use the View Toggle (found in the filter area) to switch between Guide View and Section View.
Guide View shows guides listed vertically, with client initials for each trip day.
Section View replaces the guide list with section names and capacity tracking.
This toggle changes the entire layout of the calendar.
Note: This is separate from the "Client Initials" filter described below. The View Toggle switches between views, while the Client Initials pill changes how colors are displayed within whichever view you're in.
Color Key and Client Initials Filter
At the top-left of the calendar, click the "Client Initials" pill (with the filter icon on the left and drop-down arrow on the right) to choose what the colors represent—not the layout:
Trip Readiness – shows trip-state colors
Green – Ready
Yellow – In Progress
Red – Overdue
Gray – Completed
Booking Payment Readiness – shows payment status colors (e.g., Paid, Pending, Overdue)
You can also toggle to show or hide Unassigned Trips, allowing you to focus on scheduled guides or open availability.
Filtering Options
Like the Trip Calendar, the Assignment Calendar includes filters to help you focus on what matters most. You can filter by:
Guide
Booking client
Experience
Trip manager
Booking status
Booking payment status
Trip status
Rank (to sort guides by seniority level)
Filters help you zero in on specific guides, clients, or trip conditions. To clear filters, click Clear at the bottom of any dropdown or Clear Filters to the right of the active filter pills.
