Online Availability Settings

Use Online Availability Settings to control when guests can book, when your business is closed, and how your booking flow appears online.

Online Availability Settings help keep your calendar accurate and your booking flow clear. From here, it is possible to manage online booking rules, configure how pricing displays on your booking pages, and preview or copy booking integration details.


How to access Online Availability Settings

From the Trip Calendar, click Online Availability Settings in the top right corner.

Choose from the available sections:

  • Manage online booking

    • System default

    • Manage by experience

    • Exceptions

    • Display settings

  • Integration

On mobile, the Trip Calendar settings can be adjusted right from a phone — tap the calendar settings icon to manage availability and closures on the go.


Manage online booking

Use Manage online booking to configure how online booking works across your experiences. This section includes four tabs:

  1. The System default tab is where availability settings, instant booking cutoff, and off-season ranges are configured as system-wide defaults. These settings apply to all experiences unless overridden at the experience level.

    Availability is built from one or more limit rules. Each rule offers five options:

    • Locations — counts remaining capacity at the locations you select

    • Guides — counts guide availability, set to either all guides or eligible guides

    • Slots — counts a fixed number of bookable spots

    • Request to book — sends every online booking in as a request

    • Fully blocked — turns online booking off

    Click Add limit rule to stack a second rule. Stacked rules are joined by AND, so a booking has to clear every rule before it is offered instantly.

  2. The Manage by experience tab displays all experiences in a single view, allowing availability settings, additional slots, instant booking cutoff time, and off-season range to be adjusted per experience without navigating to each experience individually.

  3. The Exceptions tab allows specific date and time overrides for one-off closures or changes that fall outside regular seasonal rules.

  4. The Display settings tab lets you control how pricing and contact information appear on your online booking pages — including hiding prices on group listings, showing your phone number during Request to Book, and choosing a price display format.

This section can be used to:

  • Preview how booking appears to guests

  • Find the organization ID used for testing

  • Copy the booking link or integration details as needed

This is especially useful when checking how the booking modal or booking flow will appear on a website before sharing it publicly.

Online Availability Settings give one place to manage closures, booking behavior, and booking flow setup. Keeping these settings updated helps make sure guests only see accurate availability and the right booking options.
