Understand and Manage Client Tasks

Learn how client tasks are created, how they appear to clients, and how to control them by adjusting your experience settings.

Client tasks help guide your customers through important steps like filling out forms, signing waivers, or reviewing documents. These tasks are not created manually—instead, they are automatically generated based on how your experience is set up. Understanding this connection makes it easy to control what your clients need to complete.

Additionally, Brindlechute provides operational tools to help ensure clients complete these tasks efficiently, such as reminders and notifications.


Client tasks are driven entirely by three sections within your experience setup:

  • Questionnaires

  • Waivers

  • Documents

Any item marked as Required in these sections will automatically appear as a required task in the client portal.

You have full control over how these tasks appear:

  • Required: Clients must complete these before proceeding.

  • Optional: Clients can complete these, but they are not mandatory.

  • Not Used: If both Required and Optional fields are empty, no task will appear at all.

If you use age groups to allow minors to be added to trips, the Age Group column in Product Settings also determines who each required item applies to. For example, a waiver tagged Adult won't generate a task for a minor. You can preview which pre-trip tasks are assigned to each age group using View Pre-Trip Tasks by Age Group, located at the bottom of each experience.


To manage or update client tasks, follow these steps:

  1. Go to Experiences

  2. Click on the experience name or select the pencil icon to edit

  3. Scroll down to the Documents section

  4. Review the Required and Optional fields

  5. Click the X next to any item you want to remove

  6. Leave both fields empty if you don’t want the task shown to clients

  7. Click Save & Next at the top of the page, then Update Experience to apply your changes


Which tasks are required can’t be changed per trip—they always reflect the experience tied to that booking. What you can do on a per-trip basis is override a task’s status: if a client didn’t complete a task, or completed it offline (like signing a paper waiver in the shop), you can mark it as done. Tools for Managing Client Bookings

Brindlechute offers several tools within the trip detail section to help you manage client bookings and ensure all tasks are completed:

  • Invite party: Located next to the Clients section header when the booking has open spots, this sends a message to the booking client, prompting them to invite the rest of their party. This ensures that all guests are added and can complete their required tasks.

  • Request docs from all clients: Located at the top of the Manage trip by day section, this sends a reminder to the entire party to complete required tasks, such as waivers, in their client portals.

  • Reminder: On a client’s row, sends a task reminder to that individual client.

  • Complete task: On a client’s row, opens the client’s panel where you can complete tasks on their behalf or mark items as done and override their status.


Steps for Ensuring Task Completion

  1. Send Booking Confirmation: Clients receive the booking confirmation, which includes the itinerary link to their client portal, after the deposit or payment is made. This link allows them to complete waivers and other tasks.

  2. Handle Special Cases: If you confirm a trip without an invoice (e.g., $0 or special cases), use the “Confirm trip without invoice and then send the booking confirmation” option. This ensures clients still receive the confirmation with the portal link.

  3. Use Reminder Tools: Utilize the Invite party, Request docs from all clients, and Reminder tools to prompt clients and their guests to complete tasks.


Customizing Notifications

You can customize the wording of notifications sent to clients and their guests. This can be done in the admin panel under the Notifications section (client notifications). Tailoring these messages ensures clear communication and aligns with your brand’s tone. By leveraging these tools and steps, you can efficiently manage client bookings and ensure all necessary tasks are completed, providing a seamless experience for your clients and their guests.
