How to Refund into a Client's Wallet

Refund a booking as wallet credit instead of back to the original payment method. The client can spend the credit on future bookings.

Refund into a client's wallet when the client would rather keep the money as credit with you, for example to rebook later. The refund goes into their wallet instead of back to the card, bank account, or other method they paid with.

How to refund into a client's wallet

  1. Open the booking:

    • From Bookings: click Bookings in the left sidebar, then click the booking to open it.

    • From the Trip calendar: click Trip calendar in the left sidebar, click the trip, then click Manage booking in the pop-up.

  2. Scroll to the Payment Summary box and click Refund at the bottom-left.

  3. Under How would you like to issue this refund?, choose a method:

    • Refund and adjust balance: check No, I just want to provide a refund and decrease the invoice balance to continue.

    • Refund as compensation (does not affect invoice balance)

  4. Click Next.

  5. Under Refund settings, turn on Refund into a client's wallet.

  6. Check the client whose wallet should receive the refund. The booking client is selected by default. To refund into a different client's wallet, select another client.

  7. Enter the Amount to refund.

  8. Review the Summary, then click Confirm refund $X.XX.

Refunding into a wallet when you cancel or edit a booking

The Refund into a client's wallet toggle also appears under Refund settings when you cancel a booking with a refund, and when you edit a booking and the price goes down. Turn it on there to send that refund into a wallet instead of back to the original payment method.

After you refund into the wallet

The refund is added to the selected client's wallet balance and appears in the history on the Wallet tab. The client receives a Wallet Refund Notification letting them know the credit is ready to spend on bookings.

Good to know

  • The whole refund goes into the wallet. When Refund into a client's wallet is on, the full refund goes into the selected wallet, however the client originally paid.

  • Reverse a charge can't go into a wallet. A reversal undoes the original charge, so each charge goes back to where it came from. A card charge goes back to the card, and a wallet charge goes back to the wallet it was paid from. To refund into a wallet, use Refund and adjust balance or Refund as compensation.

  • Canceling without a refund doesn't use the wallet. If you cancel a booking and keep the client's payment, there's no refund to send to a wallet.

  • Refunded credit can expire. By default, credit refunded into a wallet never expires. If you've set wallet refunds to expire, the expiry date shows in the Expires column on the Wallet tab. See How to Set Wallet Refunds to Expire.

  • Wallet credit can't be cashed out. Once the refund is in the wallet, it can only be spent on bookings. To return money to the client instead, leave Refund into a client's wallet off.

For what each refund method does, see Understanding Refund Methods. For how the wallet works end to end, see How the Client Wallet Works.
