When clients book a shared trip experience online, they can join a shared trip that still has seats. If none fits, you can let them ask to start a new one instead. The request comes to you as a draft booking, and the shared trip is created when you confirm it.
How to let clients request a new shared trip
Click Experiences in the left sidebar, under Products.
Click the edit icon on a shared trip experience.
Under Default trip behavior, with Shared trips selected, turn on Clients can start a new shared trip.
Click Save & Next and finish saving the experience.
What clients see online
The booking page uses your trip type in place of the word "trip." For a wade, for example, the client chooses a date under Select a shared wade, days with open seats are marked Shared wade with seats left, and checkout reads Book your wade. The steps below use "trip."
On the experience's booking page, the client clicks Select a shared trip.
The calendar shows a dot under days that have a shared trip with seats left.
After picking a day, the client sees the options for that date under Shared trips on [date]:
Shared trips with room, with the number of seats left, for example 1:00 PM · 8 seats left.
A new shared trip, marked New shared trip · Request to book, for example 8:00 AM · New shared trip · Request to book.
The date heading and the new shared trip option use the experience's trip type, for example Shared wades on Nov 15, 2026 and New shared wade · Request to book.
The client clicks Save, then Add to cart.
At checkout, a new shared trip always goes through Request to book. The client enters their name, email, and phone, and can add a message, then clicks Request to book.
How to confirm a request
You and your team receive a Booking Requested email.
Click Bookings in the left sidebar, click the Draft tab, then click the booking. Requests made online show Online as their source.
On the experience row, you'll see Confirm to create a new shared trip.
Confirm the booking the way you normally would: Send invoice and confirm, Collect payment, or Confirm booking from the dropdown next to Collect payment.
In the Confirm assignment window, assign a guide if you'd like, then click Confirm assignment.
After you confirm
The new shared trip is created on the requested date and time, with the client's seats on it. The experience row on the booking shows the shared trip using the experience's trip type, such as in 1 shared trip or in 1 shared wade, and the shared trip appears on the Shared trips page.
The client receives the usual Booking Confirmation email, unless you choose not to send it.
Good to know
New shared trips always need your approval. Even if the experience is normally instant book, a request to start a new shared trip comes in as Request to book.
The shared trip runs at the time the client chose. Clients pick from the experience's start times when they request it.
Seat notices use your trip type. If a shared trip doesn't have enough seats left for the client's group, the notice at checkout uses the experience's trip type, such as shared wade.
