How to Schedule Shared Trips

Schedule shared trips from the Shared trips page or the Trip calendar: pick an experience, set the dates and repeat, and choose how many shared trips run each day.

A shared trip is a trip that guests from different bookings join and share, instead of each booking getting its own private trip. Use shared trips for classes, clinics, or any scheduled group trip. Schedule them ahead of time, and bookings join them.

Before You Start

Only experiences with Default trip behavior set to Shared trips can be scheduled as shared trips. See How to Create a Shared Trip Experience.

How to Schedule Shared Trips

  1. Open the scheduling window:

    • From Shared trips — click Shared trips in the left sidebar, then click + Schedule shared trips in the top right.

    • From the Trip calendar — click Trip calendar in the left sidebar, click Shared trips in the top right, then click + Schedule shared trips.

  2. Click the experience you want to schedule. Only experiences set to Shared trips appear in this list. Partner-linked experiences are listed separately under Partner-linked experiences.

  3. Under Start date, pick the first date on the calendar. The label next to Start date shows the experience's itinerary setting, such as Flexible days · 6 hours per day.

  4. Under Repeat, choose Does not repeat, Daily, Weekly, or Monthly, then set how often it repeats and when it ends. See Repeat Options below.

  5. Under Shared trip details, set Shared trips per day using the − and + stepper. These details apply to every shared trip you're scheduling.

  6. Under Start time and duration, choose a time for each shared trip, or click Custom to set your own.

  7. Optionally, choose a Guide and a Location. Both can be left unassigned.

  8. Check the summary on the right. It shows how many dates and shared trips will be created, with each date listed by month. Click × next to a date to remove it, or click Restore to bring removed dates back. The first date can't be removed.

  9. Click Schedule [number] shared trips.

Good to know

If you choose a guide who needs to accept trip requests, they get one email for the whole schedule instead of one per date. They can accept or decline all of it at once, or answer each shared trip individually, in the Guide App or on the web from the email link. If they don't answer in time, they get one expiry notice for the schedule.

The guide's emails call it a shared trip and name the trip type.

On the Trip calendar, a shared trip whose guide request ended shows Declined or Expired.

A shared trip's guide is locked once their guide report is submitted or they've been paid. After that, the guide can't be changed from the booking, the Trip calendar, or the shared trip page.

Repeat Options

Each repeat copies the first date at the interval you set:

  • Does not repeat – Only the first date is scheduled.

  • Daily – Set Repeat every to the number of days between shared trips.

  • Weekly – Set Repeat every to the number of weeks, then pick the weekdays under Repeat on. The start date's weekday is selected by default.

  • Monthly – Set Repeat every to the number of months, then choose under Repeat on whether it falls on the same day of the month (for example, On day 26) or the same weekday position (for example, On the fourth Thursday or On the last Thursday).

When the Repeat Ends

Under Ends, choose On to pick an end date, or After to stop after a set number of dates. If you don't change it, the end date defaults to a set length after the start date:

  • Daily – 1 week

  • Weekly – 2 months

  • Monthly – 6 months

Where to Find Your Shared Trips

On the Shared Trips Page

Click Shared trips in the left sidebar. Shared trips are grouped into Active, Completed, and Canceled. See Understand the Shared Trips Page.

On the Trip Calendar

Click Trip calendar in the left sidebar, then click Shared trips in the top right.

Each card shows the experience name and the number of shared trips and clients that day. Under it, each shared trip shows its assigned guide, seats taken, and time. Seats taken counts the clients against the total seats. For example, 0/7 means no one has joined a shared trip with seven seats. The total seats come from the experience's Number of clients per guide. As bookings join, each booking client's name appears under the guide with the number of seats their booking takes.

Open a Shared Trip

Click a shared trip in the Trip calendar's Shared trips view to see a quick view with its seats taken, shared trip status, assigned guide, guide report, location, start time and duration, tags, and the bookings it has seats from. You can change the guide, location, and tags right there.

Click Manage shared trip to open the full shared trip page. You can also open it by clicking the shared trip on the Shared trips page. Buttons and headings on the shared trip page use the experience's trip type. For example, a wade trip shows Manage shared wades, + Add shared wade, and Cancel shared wade. The shared trip page shows:

  • Bookings – the bookings with seats on that date, with each booking's status, payment status, seats, and itineraries. Click Manage booking to open one.

  • Manage shared trips – each shared trip on that date, with its seats taken, status, and Trip manager. Click + Add shared trip to add another shared trip on the same date, or + Add booking to book more clients into one.

  • Shared trip detail – the guide assignment, guide report, location, meetup and time, tags, and trip notes

  • Checklist – the shared trip's checklist tasks

  • Clients – one row per seat, showing which booking the seat comes from, the client in it, and their task status. Use Select client to name the guest in an open seat, and the Complete tasks, Itinerary, and Reminder buttons to complete tasks or send an itinerary or reminder.

To move a seat to another shared trip on the same date, drag it into that shared trip's Clients list. To add a seat, click + Add seat and choose which booking itinerary the seat comes from. Only bookings with an itinerary covering that date can add a seat. Seat changes aren't applied until you click Save in the banner at the top of the page, or Discard changes to undo them. See How to Book Clients into a Shared Trip.
