What to Do When You Get a "Heads Up! An Email Could Not Be Delivered" Alert

Why an email to a client bounced, and how to reach them another way.

When a Brindlechute email can't reach someone on a booking, your team gets a Client Email Bounced Alert. It reads something like: "Heads up! An email could not be delivered to [client] related to [booking contact]'s booking #[number]." The alert just lets you know that one email didn't reach that person. Nothing is wrong with the booking itself.

Why emails bounce

This usually happens for one of two reasons:

  • There's a typo in the client's email address.

  • The client's inbox has a spam or security filter blocking the email. This is common with work email addresses, where the company's email system blocks messages from outside senders.

To see the exact reason for a specific email, open the booking's Audit trail tab and hover over the Bounced status. See Viewing Booking Email Statuses.

What to do

  1. Double-check the email address with the client.

  2. If there's a typo, correct it on their client profile and resend.

  3. If the address is correct, their inbox is likely blocking it, and resending to that address won't get through. You can do either of these:

    • Ask the client for a personal email address (like Gmail). Add it to their client profile, set it as the booking's contact email, and resend.

    • Ask the client to have their company's IT team allow emails from brindlechute.com.

  4. If you need to reach the client right away, call or text them to share the trip details.

Good to know

If you resend to an address that's being blocked, you may get another alert for each resend. That's expected.
