Create and manage memberships

This article is a guide on how to create and mange memberships on the New Back Office.

Memberships (called Subscriptions in the Classic Back Office) let you bill a member on a recurring basis and automatically grant them a class pass, appointment pass, or Universal Pass each cycle. This article covers the memberships list, creating a membership, managing an existing one, and where notification settings have moved.

Quickly subscribing a member to a membership works the same way as before, from the list page in both the new and Classic Back Office.

The memberships list

Go to Memberships, under the Products grouping in the sidebar — the same place you'd find Subscriptions in the Classic Back Office. Each row shows the name, visibility, length, billing cycle, price, and join fee, with icons for visibility and auto-renewal. Limited edition memberships are labelled under the name.

Select Archive on a row to archive a membership. Open the archive icon in the page header to see everything you've archived.

Create a membership

Click Create membership, then work through five steps:

  1. Details — name and describe the membership.

  2. Pricing & Billing — set the recurring amount, join fee, tax (Sales tax or VAT), and billing cycle. Studios in Germany can also set up a bookkeeping account here if they don't have one yet.

  3. Validity — set the contract length, auto-renewal and extension duration, terms and conditions, and an optional commitment period.

  4. What's included — create a class pass, appointment pass, or Universal Pass included with the membership, without leaving the flow.

  5. Rules & visibility — set listed/unlisted visibility, who's eligible, and any tags to apply after purchase. Then save.

Packs aren't available as an inline benefit yet. Create one separately if a membership needs to include a pack.

Membership details

Open a membership to see three tabs:

  • Editor — edit any field inline and confirm with Save changes.

  • Overview — a table of members subscribed to this membership and their status, plus a side panel summarising the membership. Select Billing to open a member's billing in detail.

  • Pause — every scheduled pause and its status.

Pausing a membership

Select the Pause icon at the top right of the membership's detail page. The same icon, in the same place, is also available from Membership billing. Set a reason, an optional note, and a date range, then confirm. The confirmation step summarises the effects: no billing during the pause, the cycle extends by the pause length, and passes stay valid.

You can schedule multiple pauses on the same membership, and deactivate or reschedule any of them from the Pause tab.

Pause can't be scheduled over a period that already contains a Voided invoice. Choose a different date range.

Notifications

Notification setup has moved. Open the three-dot menu on a membership's detail page and select Notifications — you'll be taken to the Marketing notifications page, where all notification settings are managed.

Common questions

Where do I find memberships now?
Under Memberships, in the same place as Subscriptions before — under the Products grouping in the sidebar.

Do I still need to create a pass before creating a membership?
No — create the class pass, appointment pass, or Universal Pass inline in step 4 (What's included) of the creation flow.

Where do I set up notifications for a membership?
Open the three-dot menu on the membership's detail page and select Notifications. You'll be taken to the Marketing notifications page, where all notification settings are managed.
