The Client Referral report shows you every referral your clients have made: who brought whom, whether the referred client went on to buy something, and what the discount and the reward cost you. It replaces the Referral report in the back office.
New to Reports? How to use a Report covers the buttons and controls.
It helps you answer questions like:
How many new clients came in through referrals this month, and is that growing?
Which of my clients are actually bringing people in?
How many referred clients used their discount, and how many never did?
How much have I given away in referral discounts and rewards?
What are referred clients buying with their discount?
Which referring clients still have reward credit sitting unspent?
What this report replaces
This report replaces the back-office Referral report.
Everything that report showed is here, plus two columns it never had: Referring Reward Remaining Amount and Is Referred Discount Consumed.
Before you read the numbers
The reporting period. The date range filters on when the referred client registered through the referral link. The default is the last 6 months.
💡 It is not the date the discount was used. Someone who signed up in January and bought their first pass in March counts as a January referral, and their purchase details show on that January row. If you want to look at when discounts were actually spent, use the Referred Discount Used At filter instead, which is separate from the reporting period.
The comparison. Each KPI box compares the period you have selected against the equivalent earlier period, so you can see whether referrals are picking up.
What a row means
One row is one referral: one referring client paired with one client they brought in. A referring client appears once for every person they referred, so an active referrer shows several rows. A referred client appears once.
The KPIs
KPI | What it shows |
Number of Referrals | How many referrals had their referred client register in the period. |
Number of Referring Clients | How many different clients brought in at least one of those people. |
Total Referring Reward | The combined reward granted to referring clients for those referrals. |
Total Referred Discount | The combined discount received by those referred clients. |
⚠️ Both money KPIs only count referrals that converted. A referred client who has signed up but not yet bought anything carries no discount and earns their referrer no reward, so they add to Number of Referrals and nothing else. A period with many signups and a low Total Referring Reward means people are joining and not buying, not that your figures are wrong.
Columns
Column | What it shows |
Referring Client Name | The client who shared the referral link. Click the name to open their profile in the back office. |
Referring Client Email | The referring client's email address. |
Referred Client Name | The client who signed up through the link. Click the name to open their profile in the back office. |
Referred Client Email | The referred client's email address. |
Referred Client Registered At | When the referred client registered through the link. This is the date the reporting period is based on. |
Referred Discount Used At | When the referred client paid for the basket that used their referral discount. Empty while the discount is unused. |
Purchased Products | The products in the basket the referred client paid for with the discount, listed by name. Empty until they buy something. |
Referred Discount Amount | The discount the referred client received on that basket. |
Referring Reward Amount | The reward credited to the referring client when the referred client used their discount. Shows 0 until that happens. |
Referring Reward Remaining Amount | How much of that reward the referring client has not yet spent. Subtract it from Referring Reward Amount to see what they have already used. |
Is Referred Discount Consumed | True when the referred client has completed a first purchase meeting your referral programme's conditions, which is what triggers the referring reward. False until then. |
Filters
The filters are grouped by which side of the referral they apply to.
Filter | What it does |
Referring Client Name | One or more specific referring clients. |
Referring Client Email | One or more referring clients, by email address. |
Referring Reward Amount | Limits to referrals whose reward falls in a value range. Set a minimum above 0 to see only referrals that converted. |
Referred Client Name | One or more specific referred clients. |
Referred Client Email | One or more referred clients, by email address. |
Referred Discount Used At | Referrals whose discount was spent in a date range. This is separate from the reporting period at the top. |
Is Referred Discount Consumed | True for referrals that converted into a purchase, False for those still waiting. Tick both to see everything. |
Referred Discount Amount | Limits to referrals whose discount falls in a value range. |
💡Is Referred Discount Consumed set to False is the list worth acting on: people who joined through a friend, still hold an unused discount, and have never bought anything.

What's different
First and last name are now one column each. The old report had a separate column for each; here Referring Client Name and Referred Client Name show the full name, and the name links through to the client's profile.
Two new columns. Referring Reward Remaining Amount shows how much of a reward is still unspent, and Is Referred Discount Consumed tells you at a glance whether a referral converted. Neither existed before.
Downloading
The download gives you exactly what you are looking at: your columns, your filters, your date range, and the summary view if you are grouped. Available as Excel, CSV or PDF.
Data freshness
On Report pages, data is refreshed on an hourly basis.
Referral records themselves update once a day, so a referral created this morning will normally appear tomorrow.
Permissions
Access follows your existing back-office report permissions. Everyone who can see this report sees every establishment in your company; the report has no venue filter, since a referral belongs to the company rather than to a site.
