Start by visiting the Accounting module (you must be a system admin), then choose to connect to either QuickBooks Desktop or Online
β
If using QuickBooks Desktop you'll see this screen, click to download the WebConnector configuration file and open it, this will launch WebConnector
β
If using QuickBooks Online click to authorize. Then go to Step 2 below for further instructions.
β
In our example we'll continue the setup with QuickBooks Desktop. Once the downloaded config file is opened you'll see prompts pop up in QuickBooks asking to authorize BuildTools. Click OK.
Then another prompt will open, click the 4th option as shown here
Now Webconnector will have the BuildTools file loaded. Enter "password" as the file's password, then click the left checkbox to be prompted to save the password. You can also deselect auto-run for the time being
Click on Continue but don't check these boxes yet. Run your first Webconnector sync (this first sync can take several minutes)
Once the sync shows a COMPLETE status you can check the boxes back in BuildTools and confirm
In step 2 you'll be selecting the main project manager and your default accounts (from the chart of accounts)
Next we arrive at our cost code mappings. Here we can do one of three things:
-map each code one to one if they exist in QuickBooks
-click Import From Remote to bring all of your QB codes into BuildTools
-or select all and click Sync Now to send your BuildTools codes to QB (see 2nd screenshot below)
Once codes are synced/mapped they will look like this
Now we repeat the same process for our projects and companies
Once done click Finish (if using webconnector make sure to run the sync one last time)
After a few seconds your screen will refresh and take you back to the main sync tab
At this point the sync is now active. Please reference our other articles on best practices, sync status, how to sync, and more.
