Send Transactions with QuickShare via Email or Link

QuickShare allows you to instantly share transaction from Bukku with your contacts via email or a generated link. This feature is available across all modules, making it easy to send invoices, receipts, or any other transactions directly from the system.


Access the QuickShare Option

Go to the relevant module for the transaction you want to send or share, click the three dots next to View, select QuickShare, and choose either via Email or via Link.

You can also click the QuickShare button inside the transaction.

QuickShare via Email

How to QuickShare via Email

At your transaction, click the three dots beside View > QuickShare > via Email.

The QuickShare via Email box will appear:

  1. Email To: Enter recipient email addresses, multiple email addresses can be separated by commas. If an email is set up for the contact, it will auto-populate.

  2. CC: Add CC recipients if needed.

  3. Reply-To: The email address your contacts can reply to when receiving emails from Bukku.

  4. Subject: Enter the email subject.

  5. Personal Message: Add a custom message if applicable.

  6. Form Design: Select a form design for the transaction (if applicable).

  7. Attach PDF: Option to include the document PDF as an attachment in the sent-out email.

  8. Send: Click Send once everything is ready.


Customer View & Email Tracking

Let’s take an example of sending an invoice to a customer and see how they receive it while tracking its status on your end.

Customer Receives the Email:

Your customer will receive an email for the invoice.

Your Side:

In the Email Tracker, the status will initially show as Sent, indicating the email was successfully delivered to your contact.

Clicking on the tracker icon will show details of the sent email, including:

  • Email Address

  • Personal Message

  • Form Design

  • Status

  • Date & Time

Customer Opens the Email:

When your customer opens the email, they will see the email contents along with the View Invoice button.

If you enabled Attach PDF, the invoice will also be included as an attachment.

Your Side:

In the Email Tracker, the status updates to Email Opened, and the system records the Date & Time when the email was opened.

Customer Views the Invoice:

If the customer clicks the View Invoice button, they will be directed to an online version of the invoice based on your selected form design.

Your Side:

When the invoice is viewed, the tracker updates the status to Transaction Viewed, along with the Viewed Date & Time.

This feature helps you monitor customer engagement and makes it easier to follow up on payments.

Additionally, the transaction link updates in real time—if you void the invoice later, your customer will see the voided version when they click the transaction link again.


Default Setting for QuickShare via Email

You can also configure the default settings for QuickShare via Email under Control Panel > Company Setting > QuickShare Invoice:

  1. Enable QuickShare via Email to send the transaction at the same time when saving a new transaction.

  2. Attach PDF by default if you want the document PDF as an attachment in the email sent out.

  3. Set a default CC Email for all outgoing emails.

  4. Configure a Reply-To Email, allowing recipients to reply. You can also choose 'Default to User’s Email Address', which sets the Reply-To email as the email of the user who created the transaction (retrieved from the user’s profile).

  5. Customise the Email Subject for your emails.

  6. Set up a default personal message for each transaction type.

  7. Use placeholders in email subjects and personal messages to dynamically insert details.

  8. Customise the email footer to align with your branding or add notes.


Bulk QuickShare via Email

You can also select multiple transactions and send them in bulk via QuickShare email.

Note: The system will send each transaction to the email address which setup for the respective contact in the contact module. If you select multiple transactions for different contacts, each contact will receive only their own invoice.

QuickShare via Link

At your transaction, click the three dots beside View > QuickShare > via Link.

The QuickShare via Link box will appear:

  1. A unique link to the transaction will be generated.

  2. Choose the form design for the transaction (if applicable).

  3. Click the copy icon to share the link via any platform.

  4. Click 'View' to view the transaction.

  5. Click 'WhatsApp' to share via WhatsApp on your device.

  6. Click 'SMS' to send via your messaging app on your device.

When your contact clicks the transaction link to open the transaction, they will see a screen similar to the example shown below.
