Creating Stock Transfers

Stock Transfers allow you to record the movement of goods between different locations in your company. This ensures your inventory records are accurate and up-to-date across all warehouses or stores.

Note: Before creating a stock transfer, make sure all your locations are set up in Bukku. For guidance, see Managing Stock Across Multiple Locations, which explains how to create, edit, and manage stock locations.

Creating a Single Stock Transfer

  1. Go to Stock > Transfers and click +New.

  2. Fill in the transfer details:

    1. No.: Auto-generated based on your selected number format.

    2. Date: Defaults to today; change if needed.

    3. Reference No.: Optional. Fill in if applicable.

    4. Click + Add Item to add products.

    5. Product: Select an existing product.

    6. Description: Add a short note for the item line, such as the purpose of the transfer (optional).

    7. From Location: Location the stock is moved out from.

    8. To Location: Location the stock is moved into.

    9. Quantity: Number of units to transfer.

  3. Other optional fields:

    • Remarks - Extra details for your own reference.

    • Transaction Description - A short note about this transaction, shown in reports.

    • Internal Note - Visible internally; not shown in reports.

    • Attachments - Upload supporting documents if any.

  4. Once all details are complete, click Save.

Batch Importing Stock Transfers

If you need to transfer multiple items at once within a single stock transfer entry, you can use Bukku’s batch import feature with an Excel template.

  1. Start a New Stock Transfer

    1. Go to Stock > Transfers and click +New.

    2. Click the Import File icon at the items table.

  2. Download the Template

    1. Download Bukku’s Excel template.

    2. Review the Instructions included in the template.

  3. Understand Each Column and Update the File

    1. Update the template with your required list of stock transfer items. The file includes two sample rows to help illustrate the correct format.

    2. Column Guide
      (Only fields marked with * are required.)

      1. Product (1)* – Enter the exact product name as shown in the Products & Services module.

      1. Description (2) – Optional short note for the item line, such as the reason for the transfer.

      2. From Location (3)* – Location the stock is coming from. Use the location code from your system.

      3. To Location (4)* – Location the stock is going to. Use the location code from your system.

      4. Quantity (5)* – Transfer quantity (must be greater than 0).

  4. Upload and Save

    • Click Import File again.

    • Upload your completed Excel file using Click to Upload.

    • Review all imported line items in the stock transfer entry.

    • Once everything is correct, click Save to record the entry.
